Senior Client Service Manager

This is a fully remote position, open to applicants in California.

📋 Description

• Act as a trusted advisor and strategic partner for clients and financial advisors.

• Serve as the main point of contact and welcoming representative of the team.

• Develop and sustain strong client relationships through proactive management.

• Provide high-level support to financial advisors.

• Manage high-priority client requests and transactions.

• Coordinate client communications and schedule meetings.

• Facilitate the efficient and effective operation of the practice.

• Mentor and train members of the client service team.

• Handle incoming phone calls and respond to client inquiries.

• Send routine follow-ups, status updates, and reminders for meetings.

• Manage client requests such as beneficiary updates, address changes, and RMD questions.

• Order office supplies and oversee office maintenance.

• Complete paperwork and setup for prospects and new clients.

• Follow up on fund transfers and maintain Salesforce databases and client files.

• Investigate and resolve issues with the Broker/Dealer, WEG Operations, and vendors.

• Record incoming assets using the designated blotting tool.

• Comprehend client histories and current financial requirements.

• Prepare transactions for accounts, trades, deposits, withdrawals, and RMDs.

• Communicate client requests to advisors or manage issue resolution, including processing death claims.

• Collaborate with clients’ tax or legal advisors when necessary.

• Collect client data and prepare materials for meetings and reviews.

• Conduct tax research on 1099s and follow up on reviews.

• Implement WEG’s Suitability Guidelines, operational processes, and sales model.

• Attend client services, company educational events, and vendor presentations.

• Assist financial advisors during client meetings.

• Address escalated client concerns.

• Complete operational projects and support process and system improvements.

• Communicate process and sales updates to the team.

• Support Advisor Team Operations with processes, systems, and upgrades.

• Participate in company-sponsored sessions.

• Act as a subject matter expert for company initiatives and rollouts.

• Manage vendors according to Service Level Agreements.

• Perform additional duties as assigned.


⛳️ Requirements

• Bachelor’s degree or equivalent, proven through a combination of work experience, training, military experience, or education.

• 7-10+ years of relevant industry experience is required, particularly client-facing roles.

• Proficiency with Salesforce or a similar CRM is required.

• Experience with Schwab and Fidelity is necessary; familiarity with Pershing is preferred.

• Strong working knowledge of Word, Excel, Outlook, and PowerPoint is required.

• Exceptional oral and written communication skills.

• Ability to communicate effectively and collaborate with all levels of staff and clients.

• Capability to prioritize tasks and manage projects effectively.

• Strong problem-solving abilities and attention to detail.

• Ability to thrive in a deadline-driven environment while remaining flexible under pressure.

• Ability to work as part of a team and support junior staff members.

• Willingness to learn new AI applications and understand their appropriate use cases and limitations.

• Working knowledge of annuities, mutual funds, separately managed accounts, fixed income, stocks, options, alternative investments, hedge funds, and charitable giving practices.

• Ability to stand or sit for extended periods, file documents in various cabinets, use the telephone, and operate computer systems.
