Senior Business Operations Specialist

This is a fully remote position, open to applicants in Poland.

📋 Description

• Manage the PMO, which includes conducting delivery audits, ensuring compliance with delivery standards, performing risk assessments, and maintaining Earned Value Management (EVM) discipline across the portfolio.

• Take charge of scheduling and bench management, providing daily allocation visibility, capacity planning, and strategies for bench reduction.

• Oversee Productive as the official system of record: handling project setup, budgets, rate cards, time-tracking accuracy, and reporting structures.

• Implement and uphold Standard Operating Procedures (SOPs) across various departments; identify breakdowns and recommend updates.

• Conduct margin and forecasting reports, detect revenue leakage, and escalate with documented evidence.

• Develop and sustain operational dashboards for delivery leads, finance, and board members.

• Facilitate cross-functional operational workflows among sales, finance, legal, talent, and marketing teams.

• Ensure the integration and automation of workflows between Productive, Salesforce, and HubSpot.

⛳️ Requirements

• 3-5 years of experience in Delivery Operations, Business Operations, or PMO, preferably within a software development or professional services setting.

• Direct experience with Productive is essential.

• Familiarity with Salesforce or HubSpot is required.

• Strong grasp of forecasting, scheduling, and gross margin principles.

• Proven ability to operate within a structured process framework and enforce it effectively.

• Excellent analytical and systems-thinking capabilities; proficiency with spreadsheets and Business Intelligence (BI) tools.

• Demonstrated ability to coordinate across commercial and delivery teams.

• Native-level proficiency in Polish.

• Proficient in English at a minimum C1 level.

• ITIL Foundation or a similar operational process background is advantageous.

• Certifications in PMO, PMP, or Lean Six Sigma are desirable.

• Certification in Productive or HubSpot is a plus.

• Familiarity with SQL or BI tools (Looker, Metabase, Power BI) is beneficial.

• Experience with EVM metrics (CPI, SPI, EAC) is a plus.
