πŸ“‹ Description

β€’ Oversee administrative support functions and resources for personnel, visitors, office spaces, and guest house facilities.

β€’ Assist in the execution of administrative systems, processes, and procedures in accordance with CRS standards, donor expectations, local laws, and internal controls.

β€’ Manage travel and logistics arrangements, including documentation, hotel reservations, airport transportation, local transit, and follow-ups with service providers.

β€’ Serve as a point of contact for service providers, vendors, landlords, customs agents, and governmental bodies.

β€’ Compile, review, and uphold records, reports, trackers, and documentation related to assets, inventory, facilities, contracts, leases, travel, and logistics.

β€’ Suggest enhancements to administrative processes, documentation, tracking tools, and service provision.

β€’ Lead the procurement of goods and services for emergency response initiatives.

β€’ Organize logistics for staff, visitors, events, delegation visits, workshops, and training sessions, including translation services and communication tools.

β€’ Collaborate with program and supply chain teams to address issues and reconcile inventory with accounting records.

β€’ Partner with HRD Operations and technical advisors on knowledge management resources, best practices, tools, procedures, and document translation.

β€’ Support coordinated partner capacity-building efforts and address partnership challenges.

β€’ Function independently without supervisory duties.


⛳️ Requirements

β€’ Associate degree in administration/management, Logistics and Procurement, or Accounting from a recognized college or university.

β€’ A minimum of 5 years of progressive experience in administrative support, office management, logistics, procurement, asset management, inventory control, or related operational support roles.

β€’ Strong organizational and planning capabilities.

β€’ Exceptional communication skills with proficiency in English.

β€’ Excellent abilities in communication, networking, negotiation, and interpersonal relations.

β€’ Results-driven and capable of working with minimal supervision.

β€’ Demonstrated integrity and honesty.

β€’ Proficient in Microsoft Office applications.

β€’ Fluency in both English and Spanish required.

β€’ Knowledge of French and Portuguese is preferable.

β€’ Must be legally authorized to work in the location where the position is based.

β€’ Pre-employment medical clearance is necessary for roles requiring residence or frequent travel outside the home country.

β€’ Must agree to and comply with CRS' Code of Conduct.
