This is a fully remote position, open to applicants in Oregon.
• Oversee essential legal workflows, including electronic court submissions, e-service across state and federal platforms, and legal research utilizing Lexis, Westlaw, and PACER.
• Prepare discovery documents and litigation templates.
• Format legal pleadings according to firm standards.
• Schedule appearances in court.
• Manage documents with Adobe Acrobat and DocuSign.
• Supervise PCard expense reconciliations and judicial form processing.
• Ensure all job tickets are accurately completed prior to commencing work.
• Evaluate job requests and ensure they are completed throughout the entire task lifecycle.
• Provide administrative support, including phone coverage, customer service, document editing/transcription, data entry for expenses/time/invoices, and managing reservations and scheduling.
• Maintain logs and tracking software for administrative tasks.
• Communicate any job or deadline issues to team members, leads, supervisors, and clients.
• Safeguard confidential information related to the company and clients.
• Adhere to contracted deadlines for accepting, completing, and delivering work.
• Troubleshoot basic equipment issues.
• Assist in the development of training plans and process maps.
• Deliver training plans to a team of administrators.
• Act as a subject matter expert and resource for junior staff members.
• Engage with clients in person, via phone, video, or electronically.
• Prioritize workflow and perform quality assurance on personal and team members' work.
• Comply with Williams Lea and client-site policies.
• Utilize equipment and supplies in a cost-effective manner.
• Carry out other assigned responsibilities.
• High school diploma or equivalent education.
• At least 5 years of administrative support experience in a professional setting, preferably in the legal field; or a minimum of 1 year performing administrative functions for a Williams Lea client operation.
• Formal education and/or training may be considered as a substitute for experience.
• Recent extensive experience with e-filing and e-service.
• Direct experience in managing state, federal, and arbitration filings across designated legal filing platforms and portals.
• Advanced proficiency in MS Office (Word, Excel, PowerPoint).
• Strong typing and keyboarding skills.
• Technical troubleshooting skills for relevant software.
• Familiarity with software applications used for administrative support tasks.
• Capability to schedule telephonic and virtual court appearances through Court Call, Court Connect, Journal Technologies Court Portal, or similar platforms.
• Excellent organizational skills and the ability to meet deadlines.
• Ability to manage sensitive and highly confidential documents with professionalism and discretion.
• Sound judgment and problem-solving abilities, including knowing when to escalate concerns.
• Ability to work independently and collaboratively in a dynamic environment.
• Professional verbal and written communication skills.
• Proficiency with necessary equipment, technology, software, and hardware.
• Self-motivated with a positive outlook.
• Demonstrated customer service skills.
• Ability to support West Coast/California operations.
• Availability for Monday–Friday, 2:30 PM–11:00 PM Pacific Time; alternate time zones may necessitate a 5 AM–1 AM or similar schedule.
