This is a fully remote position, open to applicants in New Jersey.
• Assist the Vice President of GPO, Manufacturer BD Oncology; Vice President of GPO, Manufacturer BD MSPL; and Associate Vice President of GPO Strategic Analytics and Technology.
• Deliver thorough administrative support to executives.
• Proactively oversee and enhance calendars and schedules.
• Organize, prepare for, and participate in both in-person and virtual meetings.
• Coordinate meeting arrangements, including room setup, materials, refreshments, and notetaking.
• Compile meeting notes into executive summaries using Word or PowerPoint.
• Plan and prepare for upcoming meetings and associated deliverables.
• Arrange timely and cost-effective travel in compliance with company policies.
• Manage expense reports, ensuring accurate and timely submissions.
• Plan and coordinate small-scale events.
• Oversee office supplies, equipment, and facilities management.
• Facilitate onboarding and provide training on systems, processes, and applications.
• Promote a collaborative and inclusive team environment.
• Handle communications while upholding confidentiality and discretion.
• Screen and prioritize incoming calls, mail, and emails, and prepare responses accordingly.
• Generate professional reports and executive summaries utilizing Word, Excel, or PowerPoint.
• Lead and facilitate selected initiatives across various departments.
• Coordinate tasks and teams among different departments.
• Provide stakeholders with regular updates and status reports.
• Typically requires over 5 years of relevant experience.
• 5+ years of experience in providing executive support within a corporate environment, primarily remote.
• A Bachelor's or associate degree is preferred, though not mandatory.
• Excellent organizational abilities with a keen attention to detail.
• Capability to maintain confidentiality, exercise discretion, and manage sensitive information.
• Strong written and verbal communication abilities, demonstrating exceptional professionalism.
• Proficient in the Microsoft Office suite, including Outlook, Teams, Copilot, Word, Excel, PowerPoint, OneDrive, and SharePoint.
• Outstanding time management and multitasking skills.
• Excellent problem-solving abilities with a proactive and critical thinking approach.
• Ability to work independently as well as in a collaborative team setting.
• Strong interpersonal skills and the ability to establish relationships with stakeholders.
• A growth mindset with a commitment to continuous learning and self-improvement.
• Demonstrated proficiency in using ChatGPT and other AI-based platforms.
• Familiarity with CRM systems like Salesforce, data visualization tools such as Tableau, and outreach platforms like Outreach.io is advantageous.
• Willingness to travel up to 5% of the time.
• Occasional overtime may be necessary.
• Must be authorized to work in the United States without restrictions or employer sponsorship.
• Fully remote, home-based position.
