This is a fully remote position, open to applicants in District of Columbia, +2 more states.
β’ Provide support to the Global Digital and Regulatory Policy team at Johnson & Johnson Worldwide Government Affairs and Policy.
β’ Execute projects and processes that assist the Global Digital and Regulatory Policy team.
β’ Professionally represent the supported team, department, and company in both internal and external communications.
β’ Engage with internal and external partners on confidential and critical issues.
β’ Maintain budget spreadsheets to track procurement and both domestic and international travel activities.
β’ Assist with agreements, contracts, purchase orders, and check requisitions for consultants and vendors.
β’ Draft, review, proofread, and manage memorandums, correspondence, presentations, policy materials, position papers, and white papers.
β’ Oversee electronic files, version control, Microsoft Teams, and SharePoint repositories.
β’ Manage submissions to portals, filter content, organize policy positions, and maintain site organization.
β’ Coordinate postings and updates for external contractors on the Home site.
β’ Create, summarize, and publish announcements and articles for WWGA&P News.
β’ Address inquiries from the portal and Home site, troubleshooting issues with vendors and internal teams.
β’ Customize team sites and retrieve archived articles from the portal.
β’ Assist in the development and distribution of Economic and Social Impact Footprint Reports.
β’ Coordinate projects, timelines, meetings, internal business partners, and external consultants.
β’ Track deadlines, send reminders, manage access to sensitive reports, and aid in SharePoint enhancements.
β’ Answer phone calls, direct inquiries, provide backup coverage, and support special projects, including meeting planning.
β’ A minimum of a high school diploma is necessary; an Associate's degree or higher and/or CPS certification is preferred.
β’ At least 5 years of experience in an administrative support role.
β’ Previous experience providing administrative support to multiple mid-level leaders, such as Directors.
β’ Preferred experience in a federal affairs or law department or within a government agency.
β’ Proficient in Microsoft Office, with intermediate to advanced skills in Outlook, OneDrive, Word, Excel, and PowerPoint.
β’ Ability to learn specialized software such as Concur, Health Care Compliance GO-EX, International Contract Database, eMarketplace, and Salesforce.
β’ Previous experience with expense reporting is required.
β’ Experience in coordinating domestic and international business travel, including flights, hotels, and transportation.
β’ Excellent time management abilities.
β’ A technologically adept problem solver.
β’ Proficient in document preparation, redlining, and proofreading.
β’ Strong interpersonal skills, attention to detail, discretion, and sound judgment are essential.
β’ Ability to work independently, manage multiple tasks, and prioritize critical deadlines in a dynamic, fast-paced, multicultural, and international environment.
β’ Capacity to anticipate and proactively address stakeholder needs.
β’ Strong organizational skills with the ability to prioritize tasks effectively.
β’ Capability to collaborate with other administrative staff.
β’ Willingness to travel occasionally, with less than 10% of travel being local/domestic.
β’ Must comply with the Johnson & Johnson Code of Business Conduct and relevant requirements.
