This is a fully remote position, open to applicants in New York.
• Oversee the complete new-item setup processes for retail clients.
• Gather, assess, and verify item details, pricing, packaging, financial, and customer information for retailer submissions.
• Detect missing data, inconsistencies, and potential compliance issues, and facilitate resolutions.
• Create, document, and manage standard operating procedures (SOPs) for new-item and promotional submissions.
• Maintain the master promotional calendar for all retail accounts.
• Validate promotional activities, timing, and program specifics while identifying any discrepancies.
• Highlight scheduling conflicts arising from competing promotional requests.
• Manage submissions through retailer portals and customer systems.
• Interpret retailer requirements, resolve routine submission challenges, and track authorization and approval progress.
• Evaluate the effectiveness of the submission process and suggest enhancements.
• Ensure that retailer submissions align with customer requirements and company standards.
• Address customer sample requests and coordinate their delivery to retailer buying teams.
• Collaborate with FP&A to verify and analyze deductions, contracts, and chargebacks related to pricing and promotions.
• Monitor customer deadlines and submission prerequisites.
• Prepare and organize materials for routine meetings and sales documentation.
• Work in conjunction with Finance, Account Managers, brokers, Sales Planning, and internal systems to reconcile information.
• Provide validated account-level inputs for commercial planning and reporting.
• Reconcile post-promotion performance summaries using both customer and internal data.
• Maintain accurate customer and promotional inputs for ongoing retail sales reporting.
• Implement systems and workflows that minimize administrative tasks for Account Managers.
• Design and enhance templates, trackers, controls, and SOPs.
• Manage daily execution, issue resolution, accuracy, and follow-through within Retail Sales.
• Report directly to the VP of Retail Sales.
• 2–4 years of experience in CPG sales support, account coordination, sales administration, brokerage, or a related commercial role.
• Capability to independently handle recurring commercial or customer-facing processes with minimal supervision.
• Experience in preparing retailer new-item forms, promotional submissions, and customer documentation.
• Background in developing or enhancing SOPs, trackers, workflows, or other operational processes.
• Familiarity with navigating retailer portals and customer systems.
• Strong proficiency in Excel and/or Google Sheets.
• Ability to validate, reconcile, and summarize customer and commercial data.
• Outstanding organizational skills and attention to detail.
• Competency in managing multiple customers, submissions, and deadlines concurrently.
• Strong commitment to following through and taking ownership of recurring administrative workflows from initiation to completion.
• Comfort in working independently in a fast-paced, high-growth CPG environment.
• Excellent written and verbal communication skills.
• Ability to collaborate effectively across Account Management, Sales Planning, Retail Operations, Finance, brokers, and other partners.
• Skill in identifying missing, inconsistent, or inaccurate information.
