Quality Assurance, Intake Coordinator

This is a fully remote position, open to applicants in South Africa.

📋 Description

• Review clinical documentation and provider session notes for completeness, accuracy, and compliance with insurance standards.

• Identify any missing, incomplete, inconsistent, or inaccurate documentation.

• Follow up with BCBAs, RBTs, and other clinical providers to secure necessary corrections.

• Track outstanding documentation and ensure that corrections are made within designated timeframes.

• Maintain precise clinical and administrative records.

• Assist in the quality assurance processes concerning clinical documentation and insurance compliance.

• Escalate any documentation issues or recurring concerns when appropriate.

• Support prospective families throughout the intake and onboarding phases.

• Clarify documentation requirements and the subsequent steps to families.

• Ensure that all necessary intake forms, records, and supporting documentation are obtained.

• Follow up with families regarding any missing or incomplete documentation.

• Keep accurate records of intake progress and outstanding requirements.

• Collaborate with internal clinical and administrative teams to facilitate a seamless intake process.

• Provide timely updates and follow-ups to ensure prospective clients move efficiently through the intake process.

• Uphold strict confidentiality while managing client, family, healthcare, and clinical information.

• Handle sensitive information in compliance with applicable privacy and confidentiality regulations.

• Manage multiple priorities and follow-ups while adhering to deadlines.

• Proactively identify issues and either resolve or escalate them as necessary.


⛳️ Requirements

• Preferred experience with electronic medical records (EMR) systems and/or clinical documentation platforms.

• Strong advantage for those with experience in ABA documentation platforms.

• Prior experience in ABA therapy, healthcare administration, client or patient intake, insurance documentation, medical billing, quality assurance, or clinical documentation review is preferred.

• Experience in reviewing clinical or provider documentation for completeness and accuracy is beneficial.

• Ability to work during US hours (9am–5pm EST).

• Must be capable of working as an independent contractor.
