This is a fully remote position, open to applicants in Philippines.
• Assist the Editor-in-Chief in the creation, publication, and promotion of the quarterly magazine.
• Follow up on editorial offers, pending responses, contributors, and stakeholders.
• Confirm participating artists and manage contracts along with signed documentation.
• Acquire high-resolution images and artwork/product details by established deadlines.
• Develop and maintain the magazine Design Checklist and publishing records.
• Oversee writers’ copy, exhibition lists, editorial submissions, approvals, editing, proofing, and the execution of necessary edits.
• Liaise with contributors throughout the publication process.
• Assist in launching magazine pre-orders.
• Create and refresh website products, banners, menus, store pages, and homepage content.
• Review and schedule email marketing campaigns.
• Develop and coordinate social media promotions utilizing existing templates.
• Coordinate promotional materials with contributing artists.
• Maintain precise product inventory.
• Prepare and publish announcements on social media, blog content, and the Editor’s Note blog.
• Upload digital magazine issues to library and digital publishing platforms.
• Update email banners and distribute internal communications.
• Inform customers when magazines are shipped and assist with subscription renewal communications.
• Support the administration of the annual art prize and draft content for the art prize blog.
• Monitor outstanding tasks and deadlines while providing general administrative and operational support.
• Candidate must be based in the Philippines.
• Prior experience in publishing, editorial coordination, content administration, project coordination, or a related field.
• Exceptional attention to detail and accuracy.
• Strong organizational and project management abilities.
• Capability to handle multiple projects, stakeholders, and deadlines concurrently.
• Excellent written and verbal communication skills in English.
• Confidence in following up with contributors and stakeholders to ensure projects remain on track.
• Strong prioritization and time management capabilities.
• Proactive mindset with the ability to work independently.
• Discretion and tact in managing contributor, customer, and business information.
• Proficient in Microsoft Office and other standard office applications.
• Experience with WordPress.
• Familiarity with Canva.
• Knowledge of Photoshop.
• Experience using OneNote or similar documentation and organization tools.
• Ability to provide and maintain appropriate hardware and software for remote work.
• Must disclose any current ongoing roles or client engagements.
• Must reflect this engagement on LinkedIn, clearly indicating “Independent Contractor.”
