Front Office – Patient Coordinator

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Act as the initial point of contact for new patients.

• Verify eligibility and benefits, which include specialist copays, deductibles, and coinsurance.

• Confirm acceptance of insurance plans prior to scheduling appointments.

• Identify and secure any necessary referrals for HMO, EPO, and Medicaid managed care plans.

• Request and collect chart notes, lab results, and imaging from referring healthcare providers.

• Schedule new patients in the designated new-patient slots within the practice's EHR system.

• Handle overflow calls and accept calls transferred from the front desk.

• Collaborate with the in-office front desk via Microsoft Teams.

• Communicate messages, transfer calls, and highlight urgent matters.

• Accurately document verification results, referral statuses, and call notes in the EHR.

• Follow up on outstanding referrals or records to avoid appointment delays or rescheduling.

• Safeguard patient information and adhere to HIPAA regulations.


⛳️ Requirements

• Minimum of 2 years of experience in U.S. healthcare insurance.

• Experience in eligibility and benefits verification, patient scheduling, or front office operations within a U.S. practice.

• Proficient in managing inbound calls from U.S. patients.

• Knowledge of referral requirements for HMO and other managed care plans.

• Familiarity with commercial insurance and government health plans.

• Experience with payer portals and insurance websites.

• Strong written and verbal English communication skills, with a professional phone demeanor.

• Exceptional attention to detail and follow-up abilities.

• Capability to work independently and handle multiple patient accounts.

• Reliable internet connection and a conducive remote work environment.

• Experience in supporting rheumatology or other specialty practices.

• Familiarity with athenaOne (athenahealth).

• Knowledge of Texas insurance plans, including Medicare Advantage and Texas Medicaid managed care.

• Experience in collecting records and referrals from referring provider offices.

• Familiarity with softphones and Microsoft Teams.

• Availability from 8:00 AM to 4:00 PM Central Time.
