Property Delivery & Facilities Manager

This is a fully remote position, open to applicants in Spain.

📋 Description

• Act as the main liaison for clients within the designated portfolio.

• Ensure the provision of property and facilities services in accordance with contractual KPIs and SLAs.

• Assist with asset transition, onboarding, and mobilization leading up to Go Live Day 1.

• Perform joint asset inspections and generate inspection reports.

• Facilitate supplier onboarding, establish service contracts, discover utilities, and manage vacant units.

• Conduct meter readings and initiate service delivery.

• Aid in the implementation of the Corrigo CAFM system.

• Serve as the initial point of contact for occupiers and suppliers.

• Supervise planned works and collaborate with in-country building consultancy teams.

• Manage relationships with clients and occupiers while providing operational guidance.

• Exhibit knowledge of lease agreements and service delivery obligations.

• Hold discussions with landlords and coordinate with country leadership teams.

• Execute quarterly asset visits and prepare QBR/ABR documentation.

• Oversee reactive maintenance, technical installations, cleaning, HVAC, landscaping, and vacant property management.

• Monitor contracted services and address any performance issues.

• Handle security/alarm responses, emergency protocols, fire evacuation, and first aid training.

• Maintain safety documentation and engage with government authorities.

• Manage service charge budgets, variance reports, reconciliations, purchase orders, invoices, forecasts, and vendor contracts.

• Plan and budget for fit-out projects and technical installations.

• Oversee health and safety measures, risk assessments, audits, compliance inspections, and insurance claims.

• Manage property transitions, built-out project tasks, work schedules, and project teams.

• Assist with space evaluations, planning, and updates to floor plans.

• Procure property supplies and services while implementing cost-reduction strategies.

• Supervise Facilities and Events Coordinators/Building staff.

• Ensure departmental administration, data accuracy, correspondence, KPIs, and SLAs are maintained.

⛳️ Requirements

• At least 5 years of experience in commercial property management and/or Facilities Management.

• Strong understanding of property management surveying principles.

• Demonstrated success in managing occupiers and supply partners.

• Proficiency in Spanish or Italian is essential.

• Required proficiency in English.

• A valid European driving license.

• Exceptional verbal and written communication abilities.

• Capability to present information to senior stakeholders.

• Project Management experience is necessary.

• Understanding of sustainability practices in property and facilities management.

• Ability to mobilize promptly and assist with urgent asset onboarding across Spain, Italy, and Germany.

• Extensive experience with Yardi Voyager or similar property management platforms is preferred.

• Experience with financial systems such as Oracle or equivalent is desirable.

• Familiarity with European industrial real estate and cross-border portfolio management is a plus.

• Experience with CAFM systems; Corrigo is preferred.
