This is a fully remote position, open to applicants in United States.
• Coordinate scheduling activities for Asset Management or Transactional project protocols.
• Create resource plans for projects and programs, taking into account complexity, qualifications, travel efficiency, productivity, and capacity.
• Analyze and allocate resource pools to select and assign field resources across various projects.
• Oversee internal and external field resource pools using a web-based project management system.
• Assess field capacity against anticipated requirements and communicate with stakeholders and leadership.
• Act as a liaison between operational leadership, project resources, clients, and client representatives.
• Identify qualified, cost-effective resources, along with alternative resourcing solutions.
• Examine project and program data, delivery schedules, challenges, and implement timely solutions.
• Provide guidance on points of contact, site access, site information, report deliverables, and project resources.
• Organize Client Supplied Materials, as-builts, previous reports, and project documentation.
• Engage in and facilitate project setup and both client and internal kickoff meetings.
• Support operational and organizational initiatives.
• Deliver prompt customer service and proactive solutions to client needs.
• Assist field and operations teams with administrative support throughout the project lifecycle.
• Maintain data in scheduling and accounting systems, including schedules, qualifications, due dates, assignments, project details, confirmations, and work plan releases.
• Attend internal and external meetings, documenting project expectations and requirements.
• Keep field resource licenses and qualifications updated in scheduling databases.
• Monitor and report project metrics, verify building types and square footage, identify data gaps, and resolve time credit discrepancies.
• Schedule projects while considering travel, location, project type, due dates, turnaround times, onsite and report-writing time, deadlines, capacity, and productivity.
• Negotiate fees with flexible resources and enhance project financial performance.
• Initiate and communicate purchase orders.
• Maintain precise scheduling databases and current resource availability.
• Coordinate onsite schedules across divisions and serve as a single point of client communication.
• Assemble and distribute onsite assessment documents, including PWPs, maps, CSMs, and prior reports.
• Resolve scheduling conflicts and challenges related to site access and information.
• Track project-specific background check requirements and clearances.
• Identify opportunities for shadowing and mock report experiences for onboarding and training.
• Uphold confidentiality and adhere to company policies, procedures, work instructions, and quality standards.
• Bachelor's degree (B.A. or B.S.) from an accredited four-year college or university in a related field; a minimum of one year of relevant experience.
• In lieu of a degree, two years of pertinent experience and/or training, or an equivalent combination of education and experience.
• Capability to write reports, business correspondence, and standard operating procedures.
• Proficiency in effectively presenting information and responding to inquiries from clients, peers, and technical field staff.
• Ability to identify problems, gather data, establish facts, and draw valid conclusions.
• Competence to interpret a wide variety of instructions and manage several abstract and concrete variables.
• Professional discretion and clear communication skills, both externally and internally.
• Proficient in using a computer, with knowledge of word processing software, spreadsheet software, and project management software.
• Strong time management skills.
