This is a fully remote position, open to applicants in United States.
• Take charge of the execution system for a diverse portfolio of intricate client accounts and projects.
• Convert approved strategies and project decisions into comprehensive work plans, tasks, milestones, dependencies, responsible parties, and timelines.
• Develop and uphold realistic project schedules that reflect scope, priorities, team capacity, and delivery dependencies.
• Oversee execution, adapt plans as circumstances evolve, and ensure decisions are implemented effectively.
• Maintain project organization in ClickUp with clear tasks, ownership, due dates, estimates, prioritization, and actionable context.
• Facilitate collaboration among Client Strategy, delivery teams, and other contributors.
• Transform internal decisions into actionable next steps while clarifying dependencies, priorities, and expectations.
• Identify gaps in handoffs, conflicting priorities, and ambiguous ownership.
• Ensure continuity across teams and safeguard vital decisions, requests, and project context.
• Detect work that is at risk of delay and monitor team capacity and workload constraints.
• Raise awareness of trade-offs and operational risks linked to scope, timelines, dependencies, staffing, or workflow.
• Review projects for overdue tasks, dependency issues, capacity concerns, and risks to delivery timelines.
• Safeguard project and account margins through effective planning, time estimates, workflow management, and effort visibility.
• Track time and hours in relation to project expectations.
• Assist with deferred revenue forecasting and revenue-recognition schedules as applicable.
• Collaborate with Client Strategy and Operations when project demands exceed planned scope, capacity, or financial assumptions.
• Aid in onboarding and kickoff by establishing project structure, timelines, milestones, tasks, and internal ownership.
• Create execution schedules for project-based engagements and align internal teams prior to confirming client commitments.
• Maintain project documentation and structure throughout engagements.
• Support transitions when timelines, priorities, services, or team members undergo changes.
• Proven experience managing complex projects, ideally within a marketing agency, professional-services firm, or multi-client setting.
• Capability to translate strategy and broad direction into specific, actionable project plans.
• Experience in coordinating work across various teams, disciplines, and dependencies.
• Ability to handle multiple concurrent projects while keeping track of priorities, risks, and deadlines.
• Strong commitment to follow-through and willingness to stay engaged until tasks are completed.
• Skill in developing realistic timelines, managing dependencies, and anticipating execution risks.
• Sound judgment when competing priorities arise, information is lacking, or teams have conflicting needs.
• Ability to differentiate between urgent requests and true project priorities.
• Confidence in challenging unrealistic timelines, unclear ownership, or commitments misaligned with available capacity.
• Ability to escalate risks at appropriate times and levels.
• Strong familiarity with project-management platforms; experience with ClickUp is highly preferred.
• Comfort with time estimates, capacity data, project hours, margin visibility, and execution reporting.
• Ability to maintain well-organized project structures and accurate task-level information.
• Comfort in utilizing operational data to pinpoint project risks and inform actions.
• Interest in AI and automation and their potential to enhance project planning, documentation, coordination, or visibility.
• Excellent written and verbal communication skills that are clear and concise.
• Ability to convert meetings and strategic discussions into actionable tasks, assigned owners, deadlines, and dependencies.
• Confidence in following up with colleagues, questioning unclear requests, and holding stakeholders accountable in a professional manner.
• Ability to effectively collaborate with Client Strategy and delivery teams without usurping strategic or client-facing responsibilities.
