Project Manager

This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee comprehensive Epic Gallery implementation projects, encompassing planning, execution, testing, deployment, and go-live activities.

• Create and sustain project plans, including milestones, dependencies, risks, issues, and resource needs.

• Act as the main point of contact between the health system, Epic, HIM, IT, clinical, and operational stakeholders.

• Manage Gallery workflow design that includes document types, indexing, scanning, fax queues, routing, workqueues, exceptions, ambulatory workflows, document filing, reconciliation, and legacy document migration.

• Drive future-state workflow design and pinpoint operational gaps.

• Collaborate with Epic application teams to coordinate technical and operational dependencies.

• Lead requirements gathering, workflow validation, design sessions, issue resolution, and tracking of decisions.

• Organize unit, integrated, workflow, and end-user testing.

• Confirm document types, indexing rules, routing, queues, and downstream workflows prior to go-live.

• Oversee legacy document migration, which includes scope definition, assessment, mapping, validation, reconciliation, and cutover planning.

• Work alongside HIM leadership on scanning, indexing, document quality, incomplete indexing, duplicate documents, and operational workflows.

• Recognize project risks and formulate mitigation strategies.

• Organize training, communications, readiness assessments, and operational transition activities.

• Facilitate status meetings, steering committee updates, issue escalation, and executive reporting.

• Manage project scope, timelines, deliverables, resources, and dependencies with vendors/partners.

• Develop plans for go-live, cutover, stabilization, and post-production support.

• Oversee post-go-live issue management and optimization efforts.

⛳️ Requirements

• Minimum of 5 years of experience in healthcare IT project management.

• Proven experience in managing Epic implementation or optimization projects.

• Direct involvement with Epic Gallery implementations.

• Experience in transitioning from OnBase or another legacy document management platform to Epic Gallery.

• Background in HIM, document management, clinical documentation, or scanning/indexing environments.

• Strong knowledge of healthcare document workflows, including scanning, indexing, faxing, document routing, and electronic medical records.

• Experience coordinating various technical and operational teams in a complex health system setting.

• Demonstrated ability to manage project schedules, risks, issues, dependencies, and executive communications effectively.

• Comprehensive understanding of healthcare implementation methodologies and go-live processes.

• Exceptional communication, facilitation, organizational, and stakeholder management skills.

• Epic certification or experience working directly with Epic application teams (preferred).

• Credentials such as HIM, RHIA, RHIT, PMP, or equivalent healthcare/project management qualifications (preferred).

• Experience in Epic document management, scanning/indexing, fax workflows, or related HIM functionality (preferred).

• Familiarity with enterprise document migration and data/document conversion (preferred).

• Prior experience leading large health system Epic implementations or optimization initiatives (preferred).
