This is a fully remote position, open to applicants in South Africa.
• Facilitate project management coordination for essential infrastructure and scientific deployment initiatives.
• Oversee project timelines, maintain delivery records, track action items, and identify scheduling risks.
• Manage the logistics of the temporary and vendor hiring pipeline from start to finish.
• Assist managers in creating job descriptions and preparing headcount approval documents.
• Engage with HR, Finance, and recruitment stakeholders to ensure candidate pipelines progress smoothly.
• Organize candidate scheduling, interviewer availability, and interview panels.
• Coordinate the logistics for new hire onboarding, including hardware provisioning and access requests.
• Arrange high-level project meetings and prepare corresponding agendas.
• Document transitions of service ownership and follow up on post-meeting action items with global stakeholders.
• Support internal approval workflows and monitor compliance updates.
• Assist with Legal communications concerning resource usage or updates to terms.
• Record, categorize, and process user feedback, feature requests, and operational logs.
• Represent SmartPA while collaborating closely with a global technology client.
• Demonstrated experience in a Project Coordination, Recruitment Coordination, or Team Operations role within a dynamic corporate or technology setting.
• Practical experience in managing intricate coordination tasks involving multiple components.
• Outstanding, proven skills in stakeholder management.
• Experience in creating, updating, and maintaining tracking sheets, project logs, or pipeline dashboards.
• Advanced skills in Google Workspace tools, particularly Docs, Slides, and Google Sheets.
• Exceptional attention to detail and a systematic approach to managing diaries, documentation, and task dependencies.
• Experience collaborating with technical software engineering, data science, or deployment infrastructure teams (desirable).
• Familiarity with project management tracking software or Applicant Tracking Systems (ATS) (desirable).
• Practical experience or strong aptitude for utilizing AI platforms and LLMs like Gemini (desirable).
• Availability to work Monday–Friday in alignment with UK working hours.
