This is a fully remote position, open to applicants in United States.
• Oversee daily coordination, administrative tasks, and operational support across all contract workstreams.
• Assist in the development and upkeep of the TSA Media and Recruitment Strategic Plan, campaign media strategies, and other contractual deliverables.
• Organize inputs, conduct research, update timelines, facilitate material reviews, and monitor approval processes.
• Provide backup and additional support for recruitment events and logistics, which includes event research, registrations, venue management, shipment tracking, inventory records, and maintaining the weekly event schedule.
• Manage project trackers and documentation for deliverables, milestones, deadlines, risks and issues, action items, client feedback, approvals, equipment and information, shipments, inventory, and transition activities.
• Contribute to bi-weekly Project Status Reports and monthly Program Management Reviews by compiling updates, campaign metrics, recruitment data, scheduling and budget inputs, risks, mitigation strategies, and follow-up tasks.
• Coordinate and facilitate internal and client meetings; prepare agendas and materials, take notes and decisions, track action items, and follow up with responsible parties.
• Support quality assurance, document management, knowledge transfer, transition activities, and urgent or ad hoc requests.
• A minimum of one (1) year of experience in project coordination, program operations, marketing, advertising, communications, events, or a similar role.
• Bachelor’s degree in business, communications, marketing, project management, or a related discipline.
• Capability to manage multiple concurrent workstreams and adapt to shifting priorities, assignments, and functional areas.
• Experience in maintaining project documentation such as schedules, action-item trackers, deliverable logs, meeting materials, reports, presentations, files, or approval records.
• Proven track record of collaborating with cross-functional teams, clients, vendors, or other stakeholders to ensure task completion.
• Proficiency in Microsoft 365 applications, including Word, Excel, PowerPoint, and Teams.
• Eligibility to obtain and maintain a Public Trust clearance.
• Legal authorization to work in the U.S.
• Strong critical thinking, analytical, and time management abilities.
• Ability to organize, prioritize, and work effectively with others.
• Excellent communication skills for articulating thoughts, ideas, and solutions both in writing and verbally.
• Capability to remain composed under pressure and in a dynamic environment.
• Responsiveness to client feedback and adeptness in implementing changes swiftly and effectively.
• Ability to quickly familiarize oneself with complex issues.
• Eagerness to thrive in a fast-paced, rapidly changing environment.
• Remote work is anticipated.
• Occasional travel for client engagements may be required.
