This is a fully remote position, open to applicants in United States.
• Support the delivery and management of various installation projects throughout their entire life cycle.
• Collaborate with several Project Managers to ensure that projects align with client expectations and are completed punctually and within budgetary constraints.
• Manage project initiation in both financial and project management systems.
• Keep, communicate, and share project details in accordance with company and client specifications.
• Conduct daily follow-ups on pending tasks and outstanding issue logs; document actions in the project management application.
• Regularly update clients on project status.
• Research, compile, process, and coordinate project information, including data entry, report creation, and metrics gathering.
• Oversee budgets, actual project expenses, and financial commitments utilizing the financial system.
• Coordinate project activities with Sales, Service, Safety, Warehouse, Field Supervisors, and Engineering teams.
• Organize and maintain both electronic and physical filing systems in line with record retention policies.
• Prepare purchase orders and coordinate material requests with the Purchasing department.
• Monitor material orders, delivery schedules, and warehouse reconciliations.
• Create project invoices and assist with invoice analysis and tracking alongside Project Managers and Accounts Receivable.
• Facilitate project closeout documentation and transition to the Service team.
• Perform other duties and responsibilities as requested or required.
• High School diploma or equivalent (GED).
• Preferred experience (though not mandatory): 1-3 years in administrative support, office management, or a related field.
• Strong capability to work both independently and as part of a team.
• Excellent verbal, written, and interpersonal communication skills.
• Exceptional attention to detail.
• Customer service skills and an understanding of customer satisfaction.
• Proficient in computer applications - Word and Excel.
• Outstanding organizational skills with the ability to manage multiple projects simultaneously under tight deadlines.
• Demonstrated initiative and proactive behavior.
• Strong analytical abilities to troubleshoot issues and identify solutions.
• Solid financial analytical skills, including cost control proficiency.
• Capability to foster a collaborative working environment for clients and team members.
