This is a fully remote position, open to applicants in United States.
• Assist the HVAC Field Operations Team, which includes Special Projects, UHP, Quality Assurance, and Project Managers.
• Aid in organizing projects, coordinating schedules, and ensuring effective communication among stakeholders.
• Oversee procurement, fulfillment, and shipping processes.
• Support schedule management and facilitate communication between teams, contractors, and clients.
• Generate and verify work order data and tickets for installation assistance.
• Monitor and update project statuses and finalize work orders.
• Help in addressing customer or project-related challenges.
• Create and allocate project work orders for internal teams and contractors.
• Revise contractor and internal-team information within project tracking systems.
• Request and manage essential project documentation, such as as-builts, permits, and equipment manuals.
• Maintain forecasting and reporting spreadsheets.
• Organize project meetings, record discussion points, and distribute minutes or follow-up tasks.
• Manage internal SharePoint folders and documentation.
• Track equipment orders, warranty claims, and equipment RMAs with the Fulfillment team.
• Assist Accounts Payable with invoice processing.
• Review Injobs and FSG data and documentation prior to work-order closure.
• Coordinate warranty service requests and contractor dispatching, monitor issue resolution, and update internal systems.
• Aid leadership with documentation and communication regarding workflow changes.
• Enhance customer satisfaction by documenting, reporting, and assisting in resolving project-related issues.
• A bachelor's degree is preferred, though not mandatory.
• At least 2 years of demonstrated experience as a Project Coordinator, Project Administrator, or in a similar position.
• Outstanding organizational abilities, with a strong capacity to multitask and manage time efficiently.
• Excellent client-facing, communication, and teamwork skills.
• Proficient in using computers and business software for various administrative and project-related functions.
• Strong verbal, written, and presentation abilities.
• Familiarity with Microsoft applications, including Word and Excel.
