This is a fully remote position, open to applicants in United States.
• Offer both technical and administrative assistance to field and operational personnel.
• Assist in the setup, communication, scheduling, coordination, preparation, and execution of project activities.
• Present findings to clients and/or management.
• Coordinate and share schedules with vendors, clients, as well as internal and external teams.
• Create reports on project progress, issues, and solutions for stakeholders.
• Monitor data using web-based project management platforms.
• Receive and distribute Client Supplied Material (CSM).
• Reach out to municipal departments for project-related information.
• Undertake special projects assigned by the leadership team.
• Recognize opportunities to enhance efficiency and technological solutions.
• Uphold the confidentiality of company information.
• Provide timely and proactive customer service to clients.
• Adhere to documented policies, standard operating procedures, work instructions, quality standards, and strategic initiatives.
• Ensure a safe and tidy work environment.
• Conduct document research on client-supplied materials.
• Submit and monitor check requests for municipal data and information essential for zoning and site-investigation reports.
• Track and acquire pending municipal data and information.
• Process or obtain FLEX IDs for onboarding new vendors.
• Compose technical zoning and site-investigation reports utilizing municipal research.
• Communicate necessary information for report completion and notify stakeholders of any expected delays.
• Revise reports upon receipt of additional municipal information.
• Provide zoning-related information to clients both verbally and electronically.
• Lead responses to client inquiries and requests regarding zoning reports after delivery.
• Delegate follow-up instructions as needed to resolve client issues.
• Identify and communicate efficiencies in workflow.
• Work overtime with prior supervisor approval when necessary.
• Travel as required for essential duties and responsibilities.
• A high school diploma or General Education Diploma (GED) is mandatory.
• At least two years of experience in an administrative role is required.
• Ability to read, analyze, and interpret project/technical documents, technical procedures, or governmental regulations.
• Capability to write reports, business correspondence, and procedural manuals.
• Skill in presenting information and responding to inquiries from clients, colleagues, and technical field staff.
• Proficiency in defining problems, gathering data, establishing facts, and drawing valid conclusions.
• Ability to interpret technical instructions and manage both abstract and concrete variables.
• Proficient in operating a computer.
• Familiarity with word processing, spreadsheet, and project management software.
• Strong time management abilities.
• Active listening skills.

• Proficient oral and written communication skills.
