This is a fully remote position, open to applicants in United States.
• Act as the People Operations point of contact for designated client accounts.
• Lead and facilitate regular client meetings while tracking HR Operations items to completion.
• Identify HR risks or service gaps and escalate them as necessary.
• Engage in all stages of new client implementation to ensure HR operational readiness.
• Create and customize HR templates specific to each client.
• Manage the collection, organization, auditing, and transfer of client I-9 documentation.
• Oversee communications related to background checks.
• Distribute onboarding communications and orientation instructions to newly hired employees.
• Input and verify new hire records within the HRIS, ensuring data integrity.
• Gather necessary pre-employment documents and new hire paperwork.
• Conduct FLSA assessments and evaluate visa status for tax treaty exemptions.
• Monitor and enhance onboarding workflows, NHO software, and benefits orientation materials.
• Schedule and coordinate logistics for new hire orientation.
• Ensure that new hires receive notifications mandated by state law.
• Update the New Hire Orientation presentation annually or following significant policy or benefit modifications.
• Develop and maintain documentation for the termination process.
• Coordinate involuntary termination processes and prepare separation documents.
• Manage final pay, benefits termination, rollover or continuation elections, and unemployment documentation.
• Keep HRIS compliance data updated and perform semi-annual minimum wage audits.
• Oversee EEO-1, VETS-4212, and California Pay Data reporting.
• Process and review changes in employee data within ADP and Salesforce.
• Manage updates related to tax elections, benefits enrollment implications, and client HR operational updates.
• Fulfill employment verification requests, complete unemployment claim forms, and respond to state agency inquiries.
• Maintain organized, audit-ready records for employees and clients.
• Act as a liaison and escalation point for HR Administrator staff.
• Utilize Salesforce and cloud-based HR technology systems to support clients and monitor work activities.
• Identify, escalate, and resolve service delivery issues in collaboration with leadership.
• Bachelor’s degree in human resources, Business Administration, or a related field (or equivalent experience).
• 3+ years of experience in HR operations, HR generalist roles, or HR services, ideally within a PEO, ASO, or HR outsourcing context.
• Proven hands-on experience with ADP Workforce Now / Paylocity / Rippling (or equivalent HRIS) for new hire processing, employee changes, and reporting.
• Familiarity with employment compliance requirements: I-9/E-Verify, FLSA, FMLA, COBRA, EEO-1, and relevant state regulations.
• Strong communication skills in client-facing situations, capable of facilitating meetings, presenting data, and managing competing priorities across various client accounts.
• Proficient in Microsoft Office Suite and comfortable working with HRIS systems.
• Experience with Salesforce (SF) or similar CRM systems in an HR context is preferred.
• PHR, SHRM-CP, or equivalent HR certification is preferred.
