This is a fully remote position, open to applicants in Alabama, +23 more states.
• Manage the payroll tax operations and lead the team handling daily accounting tasks associated with program activities.
• Supervise the payroll tax specialists by managing their workloads, providing performance coaching, training, and ensuring quality standards.
• Oversee monthly bookkeeping processes and reconcile general ledger accounts with billing records, tax reports, and bank statements.
• Assist staff in researching and interpreting tax laws relevant to employers and workers in different states.
• Develop, execute, and maintain procedures that ensure compliance with federal and state payroll tax regulations.
• Handle registration with state and federal authorities and establish individuals as employers.
• Keep client tax accounts in good standing and facilitate issue resolution.
• Oversee the employer-of-record setup with agencies, including the appointment of agents and assignment of tax identification numbers.
• Lead the research and development of procedures for new state-driven tax reporting processes.
• Ensure the timely submission of tax deposits and reports, including SUTA, state income tax reports, IRS Forms 941 and 940, W-2, W-3, 1099, and 1096.
• Oversee the payment of taxes, garnishments, and other financial obligations.
• Review reconciliations for workers’ compensation and supervise the collection of information for annual insurance audits.
• Develop projections for workers’ compensation and other tax-related expenditures.
• Manage audits, reviews, year-end closings, and the preparation of tax reports.
• Generate accounting-related reports and document accounting procedures.
• Recommend and spearhead improvements in processes and workflows.
• Conduct periodic quality assessments of data and staff contributions.
• Maintain confidentiality of sensitive information.
• A bachelor's degree in a business-related field is preferred; an Accounting major is strongly preferred.
• A minimum of 3 years of experience in bookkeeping, accounting, payroll tax processing, or a similar field.
• Experience in supervising or leading staff.
• Previous experience in preparing and filing Forms W-2, W-3, 1099, 1096, 941, and 940 is required.
• Strong understanding of payroll, payroll taxes, general ledgers, and accounting or bookkeeping principles.
• Proficiency in accounting software, Microsoft Excel, and general computer systems.
• Ability to apply critical thinking, interpret regulations, analyze data, draw logical conclusions, and assist others in problem-solving.
• Proven leadership abilities, including coaching, delegation, and fostering accountability.
