This is a fully remote position, open to applicants in Philippines.

📋 Description

• Coordinate appointments for both new and returning patients across various providers.

• Handle the rescheduling of appointments and confirm details with patients.

• Adhere to scheduling protocols to guarantee accurate bookings.

• Relay appointment requirements and instructions to patients effectively.

• Assist with scheduling referrals and specialist appointments.

• Verify, update, and maintain patient demographic data.

• Review insurance information and confirm eligibility and coverage.

• Accurately input insurance details into the EHR system.

• Resolve issues related to missing, outdated, or incomplete registration and insurance data.

• Gather necessary information from patients as required.

• Enter and update patient details using AdvancedMD.

• Keep patient charts organized, complete, and up-to-date.

• Document all scheduling activities, insurance information, and patient communications.

• Identify and rectify discrepancies promptly.

• Ensure patient confidentiality and comply with HIPAA regulations.

• Escalate complex issues to the provider or office manager when necessary.


⛳️ Requirements

• Prior experience as a Medical Virtual Assistant, Medical Assistant, Medical Receptionist, Patient Registration Specialist, or a similar role in healthcare administration.

• Practical experience in scheduling, rescheduling, and coordinating appointments.

• Proven track record in verifying medical insurance details, patient eligibility, and demographic information.

• Familiarity with EHR systems and maintaining patient records accurately.

• Strong knowledge of medical terminology and healthcare administrative processes.

• Excellent written and verbal communication skills in English, along with professional phone etiquette.

• Outstanding attention to detail, organizational capabilities, and adherence to established scheduling protocols.

• Ability to multitask effectively while engaging with patients and updating records.

• Strong judgment and problem-solving abilities, with the capacity to work independently within established protocols.

• Capability to recognize situations that require escalation to a provider or office manager.

• Proficient in handling confidential patient information in alignment with HIPAA regulations.

• Required to submit an NBI Clearance and/or Local Police Clearance before onboarding.

• Must be willing to participate in video meetings with the camera on when necessary.

• Availability to work the entire assigned schedule in Eastern Time is mandatory.

• Must communicate clearly and professionally in spoken and written English.

• A reliable laptop or desktop computer is required.

• A stable high-speed internet connection of at least 25 Mbps is essential.

• A noise-canceling headset is required for this role.

• A working webcam is necessary for video meetings.

• A quiet and professional work environment is mandatory.

• Preferred qualifications include experience supporting a U.S.-based primary care medical practice, familiarity with AdvancedMD, Ooma or similar VoIP systems, and experience in high-volume settings involving multiple providers or locations.
