Patient Reimbursement Coordinator

This is a fully remote position, open to applicants in Argentina, +2 more countries.

📋 Description

• Oversee travel logistics and reimbursement processing for patients involved in designated clinical trials.

• Work alongside project managers, the Patient Concierge Services Manager, and internal teams to implement patient support services.

• Initiate new projects by establishing mailboxes, portal access, SharePoint folders, and study-specific documentation.

• Review and confirm patient enrollment details, granting access to specified digital platforms like PatientGO®.

• Address patient inquiries via apps, email, and phone.

• Arrange bookings for flights, trains, accommodations, and ground transportation.

• Evaluate, verify, approve, reject, or escalate patient reimbursement and stipend requests.

• Communicate with patients and caregivers about logistics, reimbursements, and any concerns.

• Coordinate with clinical sites regarding reimbursement and travel-related issues for patients.

• Handle patient payments, stipends, travel confirmations, and allocation of payment cards.

• Maintain patient records, visit logs, and service documentation.

• Assist patients with reimbursement submissions.

• Identify operational gaps and support enhancements in services and internal initiatives.

• Provide data and updates for monthly financial reporting.

• Ensure adherence to GCP, data protection laws, and company SOPs.

• Participate in client meetings, site initiation visits, and investigator meetings as requested.

• Stay updated on tools, technologies, and procedures related to patient travel and reimbursement coordination.


⛳️ Requirements

• Position based in Argentina.

• Equivalent experience, skills, and/or education will be taken into account.

• Capability to manage patient travel logistics or reimbursement processing.

• Ability to collaborate effectively with project managers, the Patient Concierge Services Manager, internal teams, clinical sites, patients, caregivers, and vendors.

• Proficiency in using approved systems, travel providers, digital platforms, vendor platforms, and tools pertinent to patient travel and reimbursement coordination.

• Familiarity with study-specific Travel & Reimbursement Policies.

• Understanding of Good Clinical Practice (GCP), data protection regulations, and company SOPs.

• Skill in maintaining patient confidentiality and accurate real-time documentation.

• Competence in supporting financial tracking and monthly reporting.

• Willingness to participate in client meetings, site initiation visits, and investigator meetings when required.
