Patient Recruitment Manager

📋 Description

• Develop and manage strategies for recruitment, retention, and compliance for new study opportunities.

• Contribute to the creation of proposals and bid defense documents.

• Identify and enhance recruitment processes and methodologies.

• Support the integration of recruitment and retention solutions, including those from third-party vendors.

• Provide insights into recruitment and retention budgets.

• Oversee vendor request-for-proposal processes, evaluate proposals and costs, and negotiate necessary revisions.

• Address study concerns related to recruitment targets, tactical delivery, and vendor performance.

• Communicate recruitment and retention strategies to project teams during internal kickoff meetings.

• Lead the tactical implementation of recruitment and retention strategies for designated trials.

• Act as the primary contact for recruitment and retention matters and escalate vendor issues as needed.

• Develop study-specific and site-specific recruitment and retention plans, including metrics and contingency plans.

• Review vendor contracts, change orders, and budgets; facilitate vendor negotiations.

• Approve vendor invoices and coordinate vendor documentation with Vendor Management.

• Oversee the implementation of tools and services for patient recruitment and retention.

• Monitor scope, budgets, timelines, triggers, and contingency implementations; report to Project Managers.

• Create proactive risk and mitigation plans to ensure recruitment and retention remain on track.

• Provide insights into recruitment modeling, forecasting, and conduct report reviews with clinical informatics.

• Supervise vendor service delivery, metrics, quality, timeliness, budget adherence, and issue escalation.

• Serve as a liaison among vendors, project teams, sponsors, and third-party vendors.

• Ensure that issue escalation and corrective action plans are effectively implemented.

• Support the organization’s Patient Centricity goals.

• Assist in client-facing meetings related to recruitment and retention strategies, performance, contracts, budgets, and risk plans.

• Establish and maintain relationships with client project teams and follow up on necessary actions.

• Manage vendor relationships and monitor vendor performance metrics.

• Collaborate with departments including Feasibility, Recruitment and Engagement, and others.

• Perform additional duties as assigned.


⛳️ Requirements

• University/College Degree (preferably at the postgraduate level in Life Sciences) or certification in a related allied health profession from an accredited institution, or equivalent education and experience.

• Relevant and equivalent experience may be accepted in place of educational qualifications.

• Proficiency in English, both written and spoken.

• Comprehensive understanding of the clinical trial lifecycle.

• Working knowledge of ICH-GCP Guidelines, including relevant international requirements for global clinical development programs.

• A minimum of 3–5 years of relevant clinical research experience in an investigational site, research institution, pharmaceutical, biotech, or contract research organization.

• At least 2 years of Project Management experience.

• Strong communication skills with the ability to interact professionally with internal and external customers.

• Familiarity with patient recruitment strategies and client-facing experience.

• Competence in negotiating and liaising with both internal and external customers in a professional manner.

• Preferred: prior experience working with vendors.

• Preferred: familiarity with reviewing contracts.

• Preferred: experience with sites involved in recruiting for clinical trials.

• Preferred: experience contributing to proposals or business development efforts.

• Preferred: understanding of Fortrea and its organizational structure.

• Preferred: knowledge of relevant Fortrea procedures, including Standard Operating Procedures.

• Preferred: experience in Project Management, functional lead roles, or leading initiatives.

• Strong presentation, interpersonal, verbal, and written communication skills with problem-solving abilities.

• Capacity to manage multiple projects simultaneously in a decentralized/remote team environment.

• Flexibility and adaptability in relation to work assignments, organizational changes, travel, and new services.

• Willingness to accommodate overtime and weekend work when necessary.

• Ability to travel domestically and internationally as required.
