Patient Concierge Coordinator

This is a fully remote position, open to applicants in Argentina.

📋 Description

• Oversee travel logistics and reimbursement processes for patients involved in designated clinical trial projects.

• Collaborate with PCS Project Managers, the Patient Concierge Services Manager, and internal teams to grasp study requirements and execute patient support services.

• Assist in the establishment of new projects, including the creation of mailboxes, granting portal access, setting up SharePoint folders, and preparing study-specific documentation.

• Evaluate and confirm patient enrollment information, granting access to designated digital platforms such as PatientGO.

• Act as the main point of contact for patient inquiries via the app, email, or phone.

• Organize bookings for flights, trains, accommodations, and ground transportation.

• Review, verify, approve, reject, or escalate patient reimbursement and stipend requests.

• Communicate with patients and caregivers regarding logistics, reimbursement updates, and any concerns.

• Coordinate with clinical sites concerning reimbursement and travel arrangements for patients.

• Process payments, stipends, and travel confirmations for patients.

• Oversee the allocation and tracking of patient payment cards.

• Keep accurate records of patient information, visit logs, and service logs in real-time.

• Assist patients with reimbursement submissions when necessary.

• Identify operational inefficiencies and support improvements in services and internal initiatives.

• Provide data and updates for monthly financial reporting.

• Ensure adherence to patient confidentiality, Good Clinical Practice (GCP), data protection regulations, and company standard operating procedures (SOPs).

• Attend client meetings, site initiation visits, and investigator meetings as needed.

• Contribute to internal team projects and initiatives aimed at enhancing and growing the PCS function.


⛳️ Requirements

• Based in Argentina.

• Equivalent experience, skills, and/or educational background will also be taken into account.

• Capability to manage patient travel logistics or reimbursement processes for clinical trial projects.

• Understanding of patient support services, travel coordination, and reimbursement procedures.

• Proficiency in utilizing approved systems, travel providers, digital platforms, vendor platforms, and internal tools.

• Ability to uphold patient confidentiality and comply with Good Clinical Practice (GCP), data protection regulations, and company SOPs.

• Willingness to participate in client meetings, site initiation visits, and investigator meetings as requested.

• Commitment to staying informed about tools, technologies, and processes related to patient travel and reimbursement coordination.
