Operations Coordinator

This is a fully remote position, open to applicants in Massachusetts.

📋 Description

• Assist a portfolio of sites while engaging with clients, account teams, and service providers to guarantee exceptional facilities-services delivery.

• Address issues and conflicts swiftly and effectively, ensuring a high level of customer service.

• Offer support for work order management, program administration, reporting, and other assigned tasks.

• Receive and manage maintenance repair calls, which include scheduling, follow-up, quote preparation, problem resolution, and post-service activities.

• Complete service work orders and projects related to repairs.

• Oversee the financial aspects of work orders, including vendor invoice processing, quote approvals based on contracted rates, and cost coding.

• Ensure the timely and satisfactory completion of service delivery, work orders, administrative tasks, and special projects.

• Review incident tickets for prompt resolution and appropriate escalation.

• Communicate daily with vendors via phone, email, reports, and internal, client, and third-party systems.

• Assess and prioritize open work items and perform necessary follow-up actions.

• Collaborate with Sourcing, Operations, and Finance teams to convey customer requirements and address challenges.

• Establish systems, maintain access and usability, provide training, and coordinate projects with clients and service providers.

• Generate reports, data, and dispatch updates for designated business units.

• Conduct regular weekly calls for updates, check-ins, and information exchange.
