This is a fully remote position, open to applicants in United States.
• Oversee the connection of utilities and schedule services for new facility locations.
• Review, manage, and authorize monthly utility invoices across various operational sites.
• Coordinate maintenance, repairs, and services with vendors for facility upkeep.
• Collaborate with Warehouse Operations and Human Resources on temporary staffing, onboarding processes, and vendor billing approvals.
• Support leadership with customer site visits, executive travel arrangements, and daily administrative responsibilities.
• Gather, monitor, and keep up-to-date Certificates of Insurance for warehouse partners and vendors.
• Oversee property insurance compliance documentation, COPE information, and conduct quarterly Statement of Values audits for warehouses with Higginbotham.
• Handle administrative tasks related to the Warehouse Legal Liability insurance policy.
• Manage facility-related claims and communicate with Higginbotham and clients.
• Input warehouse leases into Lease Crunch and ensure compliance with ASC 842 lease-liability requirements.
• Prepare and post monthly journal entries for lease accounting and maintain reconciliation schedules.
• Keep records of warehouse security deposits, perform reconciliations, and manage deposit return processes.
• File annual retention statements and monitor compliance and nexus in jurisdictions where Kinect warehouses and inventory are located.
• A minimum of 5 years of experience in administrative, operational, or accounting support positions.
• Fundamental understanding of financial concepts, general ledger accounting, and journal entries.
• Experience with ASC 842 lease accounting is preferred but not mandatory.
• High level of expertise in vendor management, compliance documentation (such as COIs), and facility setup procedures.
• Excellent organizational skills with the capacity to independently prioritize tasks and assist executive schedules.
• Direct experience with transaction processing within NetSuite.
• Must be authorized to work in the United States.
