This is a fully remote position, open to applicants in Colombia.
• Confirm patient insurance following check-in, generally around 15 minutes after the scheduled appointment time.
• Ensure that insurance details are correct, up to date, and properly recorded.
• Analyze denied claims, pinpoint denial reasons, assist in claim reprocessing, and follow up on any missing information.
• Review and manage Explanation of Benefits documents and address EOB backlogs.
• Assess outstanding insurance balances and patient account issues, coordinating resolutions as needed.
• Provide support for claims-related workflows, including those for Cigna and Veterans Affairs claims.
• Assist in coordinating vendor payments, including checks when necessary.
• Oversee the completion, accuracy, and compliance of SOAP notes.
• Monitor missed appointments, cancellations, and scheduling patterns.
• Generate reports on outstanding balances, missed and canceled appointments, EOB backlog, denied claims, and other operational metrics.
• Offer clear insights and actionable recommendations in reports when required.
• Facilitate communication among the provider, care team, and administrative personnel.
• Identify gaps in workflows, billing issues, documentation delays, scheduling problems, and patient account challenges.
• Suggest practical solutions to enhance clinic efficiency.
• At least 1 year of experience as a Medical Virtual Assistant.
• Experience supporting a healthcare practice in the US.
• Familiarity with insurance verification, EOBs, claims, denied claims, patient balances, or billing support.
• Knowledge of CPT and ICD-10 coding systems.
• Excellent English communication skills, both written and spoken.
• Strong executive presence and a professional communication style.
• Must be proficient in Mac OS.
• High attention to detail and commitment to follow-through.
• Capability to work independently with minimal supervision.
• Proven experience in leadership, ownership, or high-accountability roles.
• Proactive mindset, anticipating needs before being asked.
• Highly detail-oriented, particularly with billing, documentation, and reporting tasks.
• Strong critical thinking and problem-solving abilities.
• Emotionally intelligent and patient when collaborating with a busy provider.
• Confident, professional, and organized in communication.
• Willing to take personal responsibility for assigned duties.
• Resourceful and self-motivated in learning new workflows.
• Trustworthy, reliable, and comfortable handling sensitive information.
• Experience supporting a chiropractic clinic is a plus.
• Familiarity with Cigna or Veterans Affairs claims is advantageous.
• Experience in clearing EOB or billing backlogs is preferable.
• Background in preparing operational or billing reports is beneficial.
• Experience mentoring, training, or supporting new team members is a plus.
• Previous collaboration with a clinic owner, provider, or executive-level leader is desirable.
