This is a fully remote position, open to applicants in United States.
• Oversee the administration of the Workforce Innovation & Systems grant portfolio throughout the entire grant lifecycle, from award to closeout.
• Coordinate the execution and performance across various concurrent public and private grants.
• Develop and uphold systems, policies, standard operating procedures (SOPs), templates, trackers, and protocols to ensure audit readiness for grant administration.
• Act as the primary coordination hub for Program, Finance, Legal, and Development teams.
• Receive and document grant awards while assessing terms, conditions, reporting obligations, and operational impacts.
• Organize grant launch activities, including setting up SharePoint, processing grant coding requests, tracking financial inputs, and addressing system access requirements.
• Lead the setup and coordination of the Request for Proposal (RFP) and site-selection processes.
• Manage the complete lifecycle of sub-awards, encompassing documentation, contract submissions, workflows, budgets, attachments, signatures, and execution.
• Oversee sub-award invoicing, procurement, and purchase-order workflows in collaboration with Finance and Program teams.
• Monitor financial activities within the portfolio to ensure compliance with federal and funder requirements.
• Assist in grant monitoring, budget and financial reviews, compliance checks for subrecipients, compiling narrative reports, conducting site visits, performance evaluations, and developing corrective action plans.
• Direct the planning and execution of grant closeout, focusing on final deliverables, completeness of documentation, and archival processes.
• Ensure readiness for audits and compliance with funder closeout standards.
• Identify and escalate risks related to compliance, finance, capacity, and reporting to the Senior Director.
• Collaborate with Specialist staff to promote continuity, cross-training, and coverage of workloads.
• Provide indirect portfolio guidance to Specialist(s).
• Bachelor’s degree in Business or Public Administration, Nonprofit Management, Project Management, Human Services, or a related discipline.
• A Master’s degree is preferred but not mandatory.
• Professional certifications like PMP or in grant management are advantageous.
• A minimum of 3–5 years of progressively responsible experience in grant administration, project management, nonprofit administration, or similar operational roles.
• Proficiency in using Microsoft Office Suite, SharePoint, Excel-based tracking tools, dashboards, and collaboration platforms.
• Capability to perform tasks with precision, punctuality, and accountability.
• Familiarity with regulatory, funder, and organizational standards.
• Ability to manage risk and unify stakeholders around shared objectives.
• Strong communication skills with an emphasis on maintaining organized and accurate records.
• Comprehensive understanding of the entire grant management process from opportunity identification to closeout.
• Skill in enhancing efficiency, effectiveness, and scalability through process and systems improvements.
• Capacity to lift up to 10 pounds occasionally.
• Willingness to work extended hours while seated at a desk and using a computer.
• This is a grant-supported position; its establishment and continuation may rely on ongoing grant funding.
• Primarily sedentary work with occasional walking and standing required.
