Manager, Administrative Coordinator Program

πŸ“‹ Description

β€’ Develop scalable processes and systems as the Administrative Coordinator program and team expand.

β€’ Oversee hiring practices that align with the Stripe talent standards.

β€’ Supervise individual contributors across various regions.

β€’ Cultivate relationships with key stakeholders and leaders throughout Stripe.

β€’ Report to and collaborate closely with the ABP Program Manager.

β€’ Assist in operational efforts, programming, and processes for the global ABP Program, including operating cadence, business rhythm, and documentation.

β€’ Lead and manage a team of Administrative Coordinators.

β€’ Keep track of team workload, capacity, performance, and quality of support.

β€’ Create and maintain program scope, documentation, guidelines, tools, processes, templates, playbooks, and knowledge management initiatives.

β€’ Provide feedback and coaching to team members.

β€’ Address program escalations, feedback, and concerns effectively.

β€’ Build and maintain relationships with executives, peers, and stakeholders while ensuring open communication channels.

β€’ Manage headcount and capacity planning in collaboration with the ABP Program Manager.

β€’ Organize onboarding and training logistics for new Administrative Coordinators.

β€’ Act as a subject matter expert on Stripe- and ABP-related policies and guidelines, including travel and expenses.

β€’ Identify and resolve large-scale, ambiguous, and complex challenges that impact the company and organization.

β€’ Drive strategic program changes, process enhancements, simplification, automation, and ongoing improvement.

β€’ Compose and disseminate communications across the ABP Team and to stakeholders.

β€’ Participate in strategic planning and roadmapping efforts.

β€’ Demonstrate excellent judgment on sensitive and cross-functional matters.


⛳️ Requirements

β€’ Proven experience in managing stakeholders and influencing key client relationships.

β€’ Background in headcount planning and recruitment practices.

β€’ Proficient in project and program management.

β€’ Experience as an Administrative or Executive Assistant or substantial knowledge of the administrative support role.

β€’ Experience managing or leading individuals or a small team is preferred.

β€’ Familiarity with managing global programs is preferred.

β€’ Experience in mentoring, developing, and enhancing the skills of individual contributors is preferred.

β€’ Ability to manage bandwidth and balance workloads for multiple individuals is preferred.
