This is a fully remote position, open to applicants in Pennsylvania.
• Perform electronic submissions of pleadings, motions, and intricate legal documents across federal, state, and appellate courts nationwide.
• Act as the procedural authority for the Philadelphia Court of Common Pleas, Pennsylvania state courts, and the U.S. District Court of Pennsylvania filing protocols.
• Provide guidance to attorneys and paralegals regarding court regulations, judges' practices, and filing prerequisites.
• Address issues related to electronic filing rejections, docketing inconsistencies, and court platform challenges.
• Assist with the processes for State, Federal, and Pro Hac Vice bar admissions.
• Conduct final quality-control checks of filings for formatting, redaction, signatures, and exhibits.
• Confirm docket entries, dates, deadlines, and occurrences in Milana.
• Calculate and input litigation deadlines in accordance with applicable federal, Pennsylvania, Philadelphia, state, and local regulations.
• Review incoming litigation documents and record deadlines, discovery timelines, and event notifications.
• Notify attorneys and paralegals about critical deadlines and document filing confirmations.
• Carry out docket sweeps, audits, case-status reconciliations, and document non-deadline-triggered events.
• Investigate litigants, cases, dockets, and judicial profiles using legal research databases.
• Create and circulate tailored docket reports to legal teams across various offices.
• Provide support in training and mentoring junior docketing or filing staff.
• 5+ years of recent experience in litigation docketing and court filing within a mid-to-large law firm.
• Comprehensive national experience with a specialized focus on Pennsylvania county, state, and federal courts.
• Profound knowledge of court structures, litigation lifecycles, and civil procedures.
• Mastery of the rules governing Philadelphia state and federal courts.
• Exceptional accuracy in reviewing legal documents and calculating statutory deadlines.
• Capability to manage multiple urgent tasks within tight, competing timelines in a high-volume litigation setting.
• Outstanding verbal and written communication abilities.
• Expert knowledge of rules-based docketing systems, with Milana and/or CompuLaw preferred.
• Extensive practical experience with PACER/ECF, PA-eFile, and Odyssey or similar court e-filing systems.
• Proficient in iManage or equivalent document management systems.
• Skilled in Adobe Acrobat Professional for document editing, splitting, and redaction.
• Proficient in Microsoft Word, Excel, and Outlook.
• Familiarity with State, Federal, and Pro Hac Vice bar admission processes.
• Willingness to assist in training and mentoring junior docketing or filing personnel.
• Experience with filing in state and/or federal courts.
• Background in electronic filing.
• Ability to convert PDF files to Word and refine scanned documents for editing purposes.
