This is a fully remote position, open to applicants in Brazil, +1 more country.
• Provide reliable and efficient administrative support for the firm’s daily operations.
• Adhere to established protocols while remaining adaptable to shifting priorities and the needs of the firm.
• Evaluate documents and correspondence for precision, clarity, grammar, and formatting.
• Assist with modifications to schedules, cancellations, and requests for rescheduling.
• Collaborate with attorneys, paralegals, and administrative personnel to enhance workflow efficiency.
• Keep organized records of communications and documentation related to cases.
• Compose professional emails, letters, and standard communications.
• Prepare, organize, and manage legal correspondence along with administrative documentation.
• Maintain, organize, and update legal files, documents, and records.
• Track upcoming deadlines, appointments, and commitments.
• Liaise with courts, clients, attorneys, and external parties regarding scheduling issues.
• Schedule and coordinate court appearances, hearings, client meetings, consultations, and other legal events.
• Manage attorneys' calendars and keep accurate scheduling records.
• Provide administrative and legal support to attorneys and paralegals on a daily basis.
• Foster a collaborative, professional, and client-centric work environment.
• Proactively identify administrative needs and take initiative with minimal supervision.
• A minimum of 2-3 years of experience as a Legal Secretary, Legal Assistant, or in a comparable legal administrative position is required.
• Experience supporting cases related to Personal Injury, Employment Law, and Civil Litigation is preferred.
• Familiarity with calendar management and court scheduling is essential.
• Exceptional written and verbal communication skills in English.
• Strong writing, grammar, editing, and proofreading capabilities.
• Experience assisting attorneys, paralegals, or legal teams is mandatory.
• Background in a litigation-focused environment is preferred.
• Ability to handle multiple priorities while ensuring accuracy and professionalism.
• Excellent organizational, calendar management, and time management skills.
• Capacity to work independently and take responsibility for assigned tasks.
• Comfortable in a fast-paced, deadline-oriented legal setting.
• Proficient in Microsoft Word and Microsoft 365.
• Strong computer skills and the ability to quickly learn new software and systems.
• Comfortable operating in a digital and technology-driven environment.
• Ability to navigate legal software and firm-specific platforms.
• Availability to work from 8:30 AM to 5:30 PM PST/PDT (United States of America).
