This is a fully remote position, open to applicants in Brazil.
• Prepare estate planning documents such as wills, trusts, and associated legal forms.
• Create and manage trust accountings alongside relevant records.
• Support trust administration tasks and oversee ongoing case management.
• Organize files and documentation throughout the lifecycle of matters.
• Engage in client outreach and follow-up communications using phone and video conferencing.
• Update clients on case status, document requests, and subsequent steps.
• Accurately track and record billable and non-billable hours.
• Examine legal documents for completeness, accuracy, and formatting consistency.
• Structure case files, deadlines, and workflow responsibilities.
• Keep precise records in Clio and other firm systems.
• Review correspondence and legal documents before they are submitted.
• Draft probate pleadings, probate filings, and accompanying documentation.
• Assist attorneys with various administrative and legal support tasks as needed.
• Ensure prompt follow-up and responsiveness to both clients and team members.
• Aid in the management of trust administration tasks from intake to closure when necessary.
• Experience in Estate Planning, Probate, Wills, Trusts, and Trust Administration practices.
• 2-3 years of experience in drafting legal documents within an active legal setting.
• Direct involvement in preparing wills, trusts, probate pleadings, trust administration documents, trust accountings, and/or probate filings.
• Experience with client outreach and follow-up communications through phone, email, and video meetings.
• Familiarity with Clio is highly advantageous.
• Preferred experience in managing a comprehensive trust administration matter from intake through accounting and closing.
• Proficient in Clio, Vonage, Outlook, Connect, legal practice management systems, and CRM systems.
• Comfortable working directly with clients and managing communications independently.
• Skills in legal document drafting.
• Knowledge in estate planning support.
• Experience in probate administration.
• Familiarity with trust administration.
• Understanding of trust accounting.
• Competence in legal research and document review.
• Ability in client communication and relationship management.
• Proficiency in practice management software.
• Strong proofreading and editing abilities.
• Exceptional attention to detail.
• Excellent written communication skills.
• Strong verbal communication skills.
• Proficiency in both English and Spanish languages.
