
Legal Coordinator – Executive Assistant

This is a fully remote position, open to applicants in Florida.
• Provide high-level executive assistance to the Executive Vice President, Chief Legal Officer & General Counsel, Vice-President of Legal, and Senior Director of Intellectual Property.
• Oversee calendars, travel arrangements, expense reports, and correspondence management.
• Prepare materials for meetings, including agendas and supporting documents.
• Coordinate meetings, communications, and follow-up tasks among internal stakeholders.
• Manage the department's budget, expenses, and vendor relationships.
• Anticipate the needs of executives, prioritize tasks, and enhance workflow and decision-making efficiency.
• Support departmental projects, operational initiatives, and daily activities of the Legal team.
• Manage legal workflows, intake processes, and request tracking systems.
• Act as a liaison between internal stakeholders and the Legal team.
• Maintain legal documents, records, systems, shared resources, and the contract management system.
• Oversee the execution of agreements and the signature processes.
• Monitor contract completion and ensure that all documentation is accurate, complete, and current.
• 10+ years of experience in roles such as legal assistant, legal coordinator, executive assistant, legal operations, or a similar position.
• Proven experience supporting senior executives and legal teams within a fast-paced environment.
• Familiarity with contracts, legal terminology, and workflows within a legal department.
• Experience with legal intake processes, document management, contract workflows, or legal operations tools.
• Exceptional organizational skills paired with a keen eye for detail.
• Outstanding time management abilities with the capacity to manage multiple priorities effectively.
• Professional and clear written and verbal communication skills.
• Ability to exercise discretion, uphold confidentiality, and utilize sound judgment.
• Proactive, solutions-oriented mindset with the capability to anticipate needs, take initiative, and solve problems independently.
• Demonstrated ability to build strong relationships with executives, internal and external stakeholders, and vendors.
• Proficiency in Microsoft Office Suite as well as enterprise collaboration and workflow tools.
