This is a fully remote position, open to applicants in Brazil, +1 more country.
• Ensure transparent and professional communication via email, Microsoft Teams, and other internal platforms.
• Ask timely and clear clarification questions when the information does not align with established standards.
• Maintain regular communication with Sales and Legal team members concerning matter setup and documentation.
• Uphold consistency and accuracy across both historical and newly initiated matters.
• Detect discrepancies or insufficient information within historical matters and follow up internally as necessary.
• Confirm that assignments, fields, and required questions are completed correctly.
• Add or update case subcategories and other pertinent classifications.
• Appropriately escalate issues to prevent incomplete information from progressing through the process.
• Identify absent, inconsistent, or ambiguous information and communicate internally to seek clarification.
• Ensure that necessary payment information is collected for ongoing payments.
• Verify that required third-party forms and supporting documents are accurately maintained.
• Record and confirm payment, deposit, and relevant third-party payment information.
• Enter and maintain precise case and matter information in Clio.
• Ensure that new matters are assigned to the correct attorney or legal team member.
• Review historical matters and update records with newly required data points.
• Assess newly opened matters for completeness prior to transitioning them to the Legal team.
• Accurately categorize matters according to case type, including divorce, custody, prenup, postnup, and other applicable categories.
• Examine newly signed representation agreements to confirm that all required information is complete and accurate.
• English Only position requiring strong written English communication skills.
• Previous experience in a legal assistant, legal administrative, legal intake, case administration, data entry, records management, or administrative support role is preferred.
• Legal experience is advantageous, but strong administrative and data management experience will also be considered.
• Comfortable working in a primarily administrative and data entry focused setting.
• Capable of managing a high volume of matters while maintaining accuracy and organization.
• Comfortable reviewing records, identifying inconsistencies, and following up internally for clarification.
• Able to prioritize urgent new matter assignments while advancing longer-term administrative projects.
• Comfortable working independently with minimal supervision.
• Proficient in Clio.
• Familiar with SharePoint.
• Experienced with Microsoft Teams.
• Skilled in Microsoft Outlook.
• Exceptional attention to detail and accuracy.
• Strong organizational and time management abilities.
• Excellent written English and professional communication skills.
• Strong data entry and records management capabilities.
• Ability to identify missing, inconsistent, or unclear information.
• Proactive approach to addressing administrative gaps.
• Strong prioritization skills and ability to manage multiple matters simultaneously.
• Comfortable asking clear and timely clarification questions.
• Ability to adhere to established processes and maintain consistent data standards.
