This is a fully remote position, open to applicants in United States, +1 more country.
• Oversee the daily accounts payable operations, which include processing freight carrier invoices, vendor invoices, and ensuring compliance with corporate card policies.
• Manage the intake of invoices, coding, approval routing, and preparation of payment batches.
• Guarantee that freight carrier and vendor invoices are accurately coded and recorded, addressing any discrepancies within AP systems.
• Examine payment batches for adherence to policy and approvals prior to the Accounting Manager's authorization and release.
• Uphold AP controls to prevent duplicate, erroneous, or unauthorized payments.
• Handle vendor onboarding, tax documentation, and maintenance of vendor master data; escalate changes in banking or payment details for validation.
• Track cash requirements and payment schedules, alerting the Accounting Manager to any funding needs.
• Supervise and assess the AP Coordinator's work and ensure quality checks on external data-entry resources.
• Oversee corporate card compliance through Ramp.
• Assist with annual 1099 filings and vendor tax compliance matters.
• Drive process and automation enhancements across QuickBooks Online, Tipalti, Bill.com, and Ramp.
• Collaborate with various departments to resolve invoice discrepancies and enhance cost visibility.
• Take ownership of designated general ledger accounts and month-end closing activities in line with U.S. GAAP and SOX-compliant controls.
• Prepare journal entries, accruals, supporting schedules, and conduct account reconciliations.
• Investigate variances and resolve reconciling items.
• Create regular reports on costs and shipping expenditures, explaining variances and trends to the Operations team.
• Maintain up-to-date documentation of current accounting processes.
• Report directly to the Accounting Manager.
• Bachelor's degree in Accounting, Finance, or a closely related field.
• 4–6 years of accounts payable experience, including 1–2 years of direct supervision of AP staff or outsourced resources within a U.S.-based company.
• Practical general accounting experience, including journal entries, reconciliations, and month-end close activities.
• Strong working knowledge of U.S. GAAP.
• Experience in a SOX-aligned or similarly controls-focused environment is advantageous.
• Proficient hands-on experience with QuickBooks Online, Tipalti, Bill.com, and Ramp.
• Advanced skills in Excel.
• CPA certification or active pursuit of CPA is preferred but not mandatory.
• Excellent analytical and organizational skills with meticulous attention to detail.
• Effective communication skills across departments and time zones.
• Capability to independently manage multiple priorities in a remote work setting.
• Experience in shipping, logistics, or e-commerce is an advantage.
