This is a fully remote position, open to applicants in United States.
• Oversee and coordinate the payroll process on behalf of the company.
• Act as the main operational liaison between internal teams and the external payroll provider.
• Assist in the complete payroll cycle, which includes preparation, validation, processing coordination, payment execution, reconciliation, reporting, and issue resolution.
• Maintain and manage payroll-related information for employees and workers.
• Gather and verify time, attendance, pay changes, bonuses, reimbursements, deductions, and payroll adjustments.
• Follow up with supervisors and internal teams to ensure that payroll information is complete and approved.
• Submit precise and authorized payroll data within set deadlines.
• Collaborate with the third-party payroll provider throughout each payroll cycle.
• Examine preliminary payroll reports for errors, missing employees, unusual amounts, and other discrepancies.
• Coordinate necessary corrections and prepare payroll for management approval.
• Monitor payroll execution and confirm that approved payroll has been processed.
• Review and address issues related to failed, rejected, delayed, or incorrect payments.
• Reconcile completed payroll with approved source information and provider reports.
• Maintain payroll reports, approvals, reconciliation records, and supporting documentation.
• Address payroll-related inquiries from employees and workers.
• Assist with payroll accounting, reporting, documentation, and process enhancement initiatives.
• Must have resided or worked in the United States.
• Must have previously engaged in the InterExchange Work Program with the United States.
• Experience in accounting support, payroll coordination, finance administration, data processing, or a similar role.
• Basic accounting and data-entry skills.
• Excellent numerical accuracy and strong attention to detail.
• Ability to analyze data and identify missing, inconsistent, or unusual information.
• Strong organizational, reconciliation, and problem-solving abilities.
• Capacity to manage recurring deadlines and follow up on outstanding requirements.
• Proficient written and verbal English communication skills.
• Ability to interact professionally with employees, managers, internal departments, and external service providers.
• Competence in handling confidential payroll, compensation, banking, and employee information with discretion.
• Ability to work independently in a structured remote setting.
• Comfortable using Microsoft Outlook, OneDrive, Microsoft 365/Office applications, spreadsheets, online collaboration tools, and payroll, timekeeping, or accounting systems.
• Preferred: Educational background in Accounting, Finance, Business Administration, or a related field.
• Preferred: Previous experience with payroll, timekeeping, accounting, or financial systems.
• Preferred: Experience coordinating with a third-party payroll provider.
• Preferred: Experience supporting U.S.-based operations or a distributed workforce.
• Preferred: Familiarity with payroll reconciliation, payroll reports, and financial documentation.
• Preferred: Experience managing high-volume employee or worker records.
• Preferred: Experience with payroll platforms; ability to quickly learn new systems is also important.
