This is a fully remote position, open to applicants in Philippines.
• Organize and manage employee records, which includes performing file audits and gap analyses.
• Review and revise policies and procedures as needed.
• Assist in drafting and updating employee handbooks.
• Update internal databases and upload employee documentation.
• Collaborate with hiring managers on job specifications, candidate filtering, shortlisting, first-stage interviews, and oversee the entire recruitment lifecycle up to junior management level.
• Prepare HR-related documents such as employment contracts, new starter offer packs, training agreements, and promotion letters.
• Coordinate and manage onboarding and induction programs for new starters.
• Oversee and manage the processes and workflows for employee departures.
• Communicate with external partners, including those involved in drug and alcohol testing or occupational health assessments.
• Generate regular reports and presentations on HR metrics.
• Assist the payroll department by providing necessary employee information, including leave, sick days, and work schedules.
• Conduct reference checks, right-to-work verifications, criminal record checks, and other pertinent assessments.
• Provide template letters for applications related to mortgages, visas, and jury service duty exemptions.
• Coordinate and issue end-of-probation reviews as well as annual performance appraisals.
• Support minute-taking during disciplinary and performance management hearings.
• Engage in HR projects such as job fairs, salary benchmarking, and benefits initiatives.
• Promote the company image and brand to clients through various media channels.
• Develop and maintain relationships with team members, departments, and stakeholders.
• Perform general personal assistant duties, including travel arrangements, invoicing, expense management, information gathering for the company accountant, website and social media management, and sales support.
• Collaborate with the internal team to ensure timely service delivery and meet client expectations.
• Proficiency in Microsoft Office Suite with strong skills in Excel.
• Analytical and methodical approach to tasks.
• Ability to collaborate effectively with Senior and Executive Management and provide efficient and accurate information.
• Exceptional interpersonal and relationship-building skills.
• Capability to thrive in a high-pressure, fast-paced environment.
• Excellent written and verbal English communication skills at a corporate level.
• CIPD Associate Member qualification or a willingness to pursue this qualification is a plus.
• Experience in a Group HR Advisory role within a group and global organization is advantageous.
• Familiarity with supporting HR processes involving overseas teams is a bonus.
