This is a fully remote position, open to applicants in Philippines.
• Organize and maintain employee files, including performing file audits and gap analysis.
• Review and revise policies and procedures as necessary.
• Assist in drafting and updating employee handbooks according to client specifications.
• Update internal databases and upload employee documentation.
• Collaborate with hiring managers to create job specifications, filter and shortlist candidates, conduct initial interviews, and oversee the recruitment process up to the Junior Management level.
• Prepare HR documentation, including employment contracts, onboarding offer packs, training agreements, and promotion letters.
• Manage and coordinate onboarding and induction programs for new employees.
• Oversee and coordinate the processes and workflows for departing employees.
• Liaise with external partners, including Drug & Alcohol and Occupational Health Testing agencies.
• Generate regular reports and presentations on HR metrics, such as employee turnover rates.
• Assist the payroll department by providing employee details such as leave of absence, sick days, and work schedules.
• Manage checks for references, right-to-work, criminal records, and other pertinent verifications.
• Provide template letters for mortgage, visa, and jury service requests.
• Coordinate and distribute end-of-probation reviews and annual performance appraisals.
• Support minute-taking during disciplinary and performance management meetings.
• Engage in HR projects including job fairs, salary benchmarking, and benefits initiatives.
• Represent the company’s image and brand to clients through various channels.
• Foster positive relationships with team members, departments, and stakeholders.
• Undertake general PA duties such as booking travel, managing invoices, handling expense reports, compiling information for the company accountant, managing the website and social media, and assisting with sales support by preparing quotes and proposals and following up on referrals.
• Collaborate with the internal team to ensure timely service delivery to clients and to meet client expectations.
• Proficiency in Microsoft Office Suite with strong skills in Excel.
• Analytical and methodical approach to tasks.
• Ability to work with Senior and Executive Management, delivering accurate and efficient information.
• Exceptional interpersonal and relationship-building capabilities.
• Ability to thrive in high-pressure and fast-paced environments.
• Excellent written and spoken English at the corporate level.
• Must have achieved CIPD Associate Member status or be willing to pursue the qualification.
• Experience in a Group HR Advisory role within a group and global organization.
• Familiarity with supporting HR processes with overseas teams.
• Proficient in all applications within the Microsoft Office Suite, including Excel and PowerPoint.
