This is a fully remote position, open to applicants in South Africa.
• Respond to inquiries from prospective families in a prompt, professional, and compassionate manner.
• Act as a friendly and knowledgeable first point of contact for families.
• Guide prospective families through the intake and enrollment process, from the initial inquiry to the subsequent stages.
• Consistently follow up with prospective families and leads to ensure timely progression through the intake process.
• Collect, review, and accurately maintain client information and necessary documentation.
• Ensure that all required intake documentation is complete and accurately recorded.
• Verify insurance benefits and assist families with any insurance-related requirements.
• Help obtain and track necessary insurance authorizations.
• Keep accurate and up-to-date information within electronic systems, insurance portals, and spreadsheets.
• Manage multiple active cases, inquiries, and follow-ups while ensuring that no opportunities or required actions are overlooked.
• Communicate professionally and confidently with families regarding next steps, outstanding information, and documentation needs.
• Identify missing information or documentation and proactively follow up to resolve any outstanding issues.
• Learn and effectively utilize internal processes, systems, and software platforms.
• Work independently while maintaining strong communication and collaboration with the broader team.
• Deliver a professional, reliable, and positive experience for every prospective family.
• Previous experience in a healthcare receptionist, Intake Coordinator, Patient Coordinator, Client Services, Administration, Healthcare, ABA, or similar role is preferred.
• Previous sales experience is highly advantageous.
• Experience in engaging with prospective clients, managing leads, and conducting follow-ups would be beneficial.
• Familiarity with healthcare insurance verification and authorizations is an advantage.
• Confident and comfortable when engaging with prospective families and following up on leads.
• Strong sales acumen and relationship-building abilities.
• Clear, professional, and easily understood spoken English.
• Excellent verbal communication and interpersonal skills.
• Intelligent, proactive, and capable of taking initiative without requiring constant supervision.
• A fast learner who can quickly grasp new processes, systems, and workflows.
• Strong organizational and time-management skills.
• Excellent attention to detail and accuracy.
• Ability to manage multiple cases, inquiries, and follow-ups simultaneously.
• Comfortable using electronic systems, CRM platforms, insurance portals, and spreadsheets.
• Strong problem-solving abilities and the capacity to identify and resolve issues proactively.
• Reliable, professional, compassionate, and able to work independently.
• Must complete an application form and upload a CV.
• Must complete a one-way video interview.
• Must be available to work US hours (9am–5pm EST).
