This is a fully remote position, open to applicants in South Africa.
• Act as a welcoming and professional initial contact for both prospective and existing clients and their families.
• Professionally and efficiently handle incoming calls, messages, and inquiries.
• Perform regular weekly check-in calls with Registered Behavior Technicians (RBTs), parents, and families receiving services.
• Serve as the main liaison between staff and families, ensuring accurate communication of information and updates.
• Foster positive and supportive relationships with clients, families, and staff members.
• Proactively identify and address issues, escalating them only when necessary.
• Conduct intake calls and oversee the intake process from the initial inquiry to onboarding.
• Consistently and professionally follow up with prospective clients, including those who are unresponsive.
• Maintain an organized intake pipeline along with accurate information for clients and leads.
• Oversee scheduling updates and changes for both clients and staff.
• Keep client and staff profiles accurate within relevant systems.
• Resolve scheduling conflicts and manage complex scheduling situations.
• Handle schedule transitions between school-year and seasonal calendars.
• Distribute cancellation notices and relevant scheduling communications to clinical staff.
• Ensure precise administrative record-keeping.
• Assist with general administrative and coordination tasks.
• Organize communication to ensure that important follow-ups are not overlooked.
• Actively seek out process improvements.
• Quickly learn and adapt to new processes, terminology, and systems.
• Prior experience as a Healthcare Receptionist, Medical Receptionist, Patient Coordinator, Intake Coordinator, Care Coordinator, or in a comparable client-facing administrative position.
• Strong background in managing inbound and outbound calls while communicating professionally with clients or patients.
• Experience in managing appointments, schedules, follow-ups, or client pipelines.
• Exceptional verbal and written communication skills in English.
• Excellent customer service, administrative, and organizational abilities.
• Strong problem-solving and critical thinking skills.
• High proficiency in Microsoft Office, especially Microsoft Teams and Excel.
• Capacity to work full-time during U.S. business hours.
