Fuel Office Administrator

This is a fully remote position, open to applicants in Canada.

📋 Description

• Document daily fuel receipts, transfers, sales, and inventory movements.

• Track fuel inventory levels at terminals, bulk plants, and customer sites.

• Reconcile inventory discrepancies and balances.

• Assist in forecasting fuel demand and planning for resupply.

• Keep records of fuel quality documentation and testing.

• Generate inventory and operational reports for management review.

• Provide administrative support, customer service, inventory control, dispatch coordination, and accounting assistance for fuel distribution operations.

• Manage logistics and maintain precise records in a northern operating environment.

• Interact with customers, suppliers, transportation providers, and field personnel.

• Assist with fuel sales, deliveries, inventory management, regulatory documentation, and customer accounts.

• Play a role in ensuring the safe and reliable delivery of fuel throughout the Northwest Territories.


⛳️ Requirements

• High School Diploma or GED is mandatory.

• At least 2-5 years of administrative experience required.

• Previous experience in fuel distribution, transportation, logistics, mining support services, aviation fuels, petroleum operations, or industrial operations is advantageous.

• Experience in northern or remote operations is preferred.

• Familiarity with ERP systems, fuel management software, or inventory management systems is a plus.

• Proficient in Microsoft Office Suite, including Excel, Word, Outlook, and Teams.

• Strong skills in data entry and recordkeeping.

• Knowledgeable about inventory control and reconciliation processes.

• Basic understanding of accounting principles, invoicing, and accounts receivable.

• Excellent organizational and multitasking skills.

• Strong customer service and communication abilities.

• Capacity to work independently with minimal supervision.

• Ability to manage confidential business information.

• Strong problem-solving abilities and attention to detail.
