This is a fully remote position, open to applicants in United States.
• Oversee critical case information and manage client documentation.
• Facilitate legal workflows in matters of adoption, surrogacy, and assisted reproduction.
• Execute additional legal and administrative tasks as assigned.
• Provide assistance to clients from various countries and cultural backgrounds.
• Handle sensitive client and family information with confidentiality.
• Keep precise records of client communications, case activities, and tasks in progress.
• Aid in the electronic filing of pleadings with Oregon and Washington courts.
• Review pleading drafts and prepare them for attorney evaluation.
• Create pleadings using sanctioned Clio templates.
• Dispatch appointment requests via Clio.
• Manage a high volume of new files with accuracy and promptness.
• Deliver inclusive and compassionate support to LGBT individuals and families.
• Monitor outstanding invoices and follow up as necessary.
• Engage with leads and potential clients regarding representation agreements.
• Draft and send representation agreements.
• Assist legal assistants with administrative and case management responsibilities.
• Track pending tasks and ensure timely execution.
• Communicate professionally and empathetically with clients, agencies, and team members.
• Review and finalize redlined contracts according to attorney guidance.
• Organize appointments and update necessary fields in Clio.
• Maintain well-structured electronic client files.
• Save email attachments and supporting documents in Dropbox.
• Monitor the firm’s email inbox and direct messages accordingly.
• Allocate tasks and deadlines following established workflows.
• Manage client and case data within Clio.
• Transform prospective matters into active cases.
• Input referrals and prospective client details into Clio.
• Respond to agency referral emails promptly.
• Accurately enter information from client forms and supporting documents.
• Full-time position.
• Monday to Friday schedule.
• Working hours from 8:00 a.m. to 5:00 p.m. Pacific Time.
• Advanced proficiency in English is mandatory.
• Spanish proficiency is appreciated but not required.
• Prior experience in family law is not essential.
• Preferred background includes legal assistant, legal administrative, case management, or records management experience.
• Experience handling sensitive or confidential information is favored.
• Strong data entry and document management skills are essential.
• Familiarity with legal documents, court filings, or pleading preparation is advantageous.
• Must be comfortable assisting clients from diverse cultural backgrounds and the LGBT community.
• Reliable internet access and a suitable remote workspace are required.
• Exceptional attention to detail is necessary.
• Strong organizational and time management abilities are essential.
• Skills in accurate data entry and records management are required.
• Experience in legal administrative support.
