This is a fully remote position, open to applicants in United States.
• Oversee the CEO’s calendar, arrange meetings, coordinate appointments, and prioritize daily scheduling tasks.
• Manage travel plans, including accommodations, transportation, and related logistics.
• Compose, revise, and oversee emails, letters, reports, presentations, and other business correspondence on behalf of the CEO.
• Help coordinate client calls, meetings, and follow-up communications.
• Professionally communicate with clients, vendors, and internal team members on behalf of the CEO as required.
• Monitor tasks, deadlines, and ongoing projects to ensure timely follow-through and organization across priorities.
• Prepare and structure reports, spreadsheets, summaries, and other administrative documents.
• Maintain well-organized records, files, and confidential information.
• Assist with tracking expenses, financial documentation, and liaising with the accounting team as necessary.
• Coordinate administrative logistics, appointments, and scheduling requirements related to executive operations.
• Facilitate internal communication and information flow across departments as directed.
• Manage sensitive and confidential information with professionalism, discretion, and sound judgment.
• Provide general administrative and operational assistance to the CEO and executive office as necessary.
• Address occasional urgent matters beyond standard business hours.
• Previous experience as an Executive Assistant or in a similar high-level administrative support position is preferred.
• Advanced English proficiency in both verbal and written communication is essential.
• Strong organizational and time-management abilities with the capability to manage multiple priorities simultaneously.
• Professional, polished, and diplomatic communication skills.
• High attention to detail with a strong commitment to follow-through and accountability.
• Ability to maintain confidentiality and exercise discretion when handling sensitive information.
• Proficiency in Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint.
• Comfortable learning and working with new software systems and digital tools.
• Ability to work independently and remain highly responsive in a remote work environment.
• Self-motivated with the capacity to quickly adapt in a fast-paced environment.
• Ability to travel to the United States with a valid passport, visa, ESTA, Green Card, or other authorization.
• 100% remote work environment with occasional travel to on-site conferences (depending on the position).
