
Executive Assistant – Operations, CEO Support

This is a fully remote position, open to applicants in Mexico, +2 more countries.
• Manage the CEO's calendar and inbox, including scheduling, protecting focus time, flagging priorities, and drafting or sending responses.
• Develop and implement a company-wide system for monitoring commitments, follow-ups, and deadlines across the leadership team.
• Prepare the CEO for both internal and external meetings and ensure that follow-up items are addressed.
• Take charge of recurring administrative tasks currently performed by the leadership team.
• Track commission payments, verify client payments, calculate commissions, and submit them to payroll on a monthly basis.
• Address accounting reconciliation issues and follow up on any missing invoices or receipts.
• Create, send, and pursue invoices.
• Compile approvals, signatures, and contract sign-offs into focused working sessions for the CEO.
• Serve as the primary point of contact between the CEO, the leadership team, and external partners.
• Provide organized updates regarding open items, priorities, and deadlines.
• Maintain a system of accountability for the CEO to ensure no open loops exist.
• Utilize Google Workspace, Slack, and Notion or a similar task management platform.
• Communicate through daily Slack messages, weekly video check-ins, and email summaries.
• Minimum of 3 years of experience as an Executive Assistant, Operations Manager, or in a similar role supporting senior leadership.
• Strong preference for candidates with a deep operations background rather than a purely administrative one.
• Exceptional written and verbal communication skills.
• Advanced to fluent English proficiency (C1-C2).
• Tech-savvy and comfortable navigating digital ecosystems such as Google Workspace, Slack, and Notion.
• Strong organizational skills and ability to prioritize effectively.
• Personal productivity system capable of reliably completing commitments and tasks.
• Proven track record of managing highly sensitive and confidential information with discretion.
• Proactive and self-motivated, demonstrating sound judgment and follow-through.
• Comfortable with both high-level coordination and hands-on administrative tasks.
• Basic knowledge of bookkeeping, invoicing, or commission and reconciliation processes is preferred.
