This is a fully remote position, open to applicants in Germany, +2 more states.
• Oversee and manage the calendars of five members of the Management Team.
• Serve as the primary point of contact for all meeting and appointment requests.
• Schedule, reschedule, and prioritize both internal and external meetings.
• Proactively identify scheduling conflicts and devise suitable solutions.
• Ensure that relevant information, participants, and meeting details are prepared in advance.
• Organize and prioritize the email inboxes of the Management Team.
• Recognize important, urgent, and actionable messages and ensure timely follow-up.
• Collaborate regularly with all five members of the Management Team.
• Communicate in a professional manner with both internal and external stakeholders on behalf of the Management Team.
• Plan and coordinate business travel, including flights, trains, hotels, and other arrangements.
• Prepare travel itineraries and make adjustments as necessary.
• Align appointments, locations, and travel needs effectively.
• Maintain a comprehensive overview of schedules and priorities across the Management Team.
• Proactively follow up on appointments, requests, and organizational matters.
• Provide structure amidst changing priorities and facilitate efficient daily collaboration.
• Act as a dependable liaison between the Management Team and both internal and external stakeholders.
• Prior experience as an Executive Assistant, Personal Assistant, Management Assistant, or in a similar coordination role.
• Outstanding organizational and time-management capabilities.
• Ability to manage multiple senior stakeholders and their calendars concurrently.
• Strong prioritization skills and keen attention to detail.
• Proactive attitude and a sense of ownership.
• Discretion and professionalism when dealing with confidential information.
• Excellent written and verbal communication skills.
• Confidence in communicating with senior stakeholders and external partners.
• Capability to remain organized and composed when priorities or schedules shift.
• Proficient digital skills and comfort with modern collaboration and productivity tools.
• Fluency in English is required.
• Must be based in Germany, Greece, or Poland.
