This is a fully remote position, open to applicants in United Kingdom.
β’ Deliver exceptional administrative support to two Vice Presidents.
β’ Oversee inbox management, calendar organization, scheduling, and meeting prioritization.
β’ Organize daily, weekly, and monthly core meetings, including managing attendance, agendas, materials, decks, Notion pages, communications, and follow-up tracking.
β’ Handle incoming emails and physical mail, coordinating intake and forwarding from the managed office facility.
β’ Prepare executives for core meetings by linking relevant documentation, sending reminders, and reserving preparation time.
β’ Plan and coordinate team events, team-building activities, and onsite/offsite meetings, which includes travel arrangements.
β’ Organize monthly in-office days, addressing office space, food, refreshments, and AV equipment needs.
β’ Arrange travel for both Vice Presidents and communicate any changes, delays, or cancellations.
β’ Assist with expense reporting and travel coordination utilizing Navan.
β’ Create documents and presentations using Google Suite and Microsoft Office, while enhancing skills with AI tools.
β’ Provide administrative support and coordination for UK and EMEA projects and programs.
β’ Innovate effective work methods utilizing AI tools.
β’ Collaborate with the support team across the organization and ensure planned coverage during time off.
β’ Report directly to the VP, Country Manager UK, and the VP, EU Engineering.
β’ A minimum of 8 years of relevant executive support experience.
β’ Proven experience supporting Board-level leaders in a fast-paced, dynamic, and cross-functional setting.
β’ Ability to work independently while effectively collaborating across various teams, functions, and markets.
β’ Comfortable and experienced in a remote work environment.
β’ Maintain complete discretion and confidentiality in all matters.
β’ Exhibit excellent judgment, professionalism, discretion, and capability to handle confidential information.
β’ Exceptional organizational skills, attention to detail, follow-through, and ability to manage multiple priorities.
β’ Experience providing clerical or administrative support for Board and/or sub-committee meetings.
β’ Background in working within or providing support for a regulated UK business.
β’ Proficient in Google Suite, Microsoft Office, Navan, Notion, and Zoom.
β’ Familiarity with workplace AI tools such as Codex and Claude.
β’ Ability to navigate ambiguity and embrace ad hoc projects and requests.
β’ Strong communication skills with the ability to give and receive feedback diplomatically.
β’ Willingness to travel when necessary, including some international travel.
