This is a fully remote position, open to applicants in Florida, +3 more states.
• Oversee a complex calendar for the CEO and C-Suite, which includes scheduling, rescheduling, and prioritizing meetings.
• Coordinate daily, weekly, and monthly agendas while preparing the CEO for engineering reviews, program milestones, and meetings with government stakeholders.
• Organize schedules across both business and limited personal commitments, resolve conflicts, and anticipate future needs.
• Act as the primary point of contact and gatekeeper for the CEO.
• Screen and manage calls, emails, and messages, responding on behalf of the CEO when appropriate.
• Facilitate communication between the CEO, C-Suite, senior leaders, engineering teams, and government/client representatives.
• Draft, edit, and format executive communications, board materials, invitations, minutes, and correspondence.
• Prepare agendas, briefing documents, presentations, and reports for executive meetings, board sessions, and government-related reviews.
• Track action items and follow up across cross-functional teams.
• Maintain the CEO's contact database and information repositories.
• Coordinate domestic executive travel, including itineraries, accommodations, transportation, and meeting logistics.
• Prepare, submit, and reconcile expense reports with the Finance department.
• Organize video conferences, briefings, and remote events for executive guests and visitors.
• Manage sensitive and confidential information related to government contracts, engineering intellectual property, and strategic initiatives.
• Enhance executive office processes and improve information flow in a remote setting.
• Lead or assist in special projects and research assignments as directed by the CEO.
• Collect, analyze, and summarize information for meetings and decision-making.
• Address urgent executive or program needs outside of standard business hours.
• At least 5 years of experience as an Executive Assistant supporting C-suite or senior executives within complex organizations.
• Advanced proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
• Comfortable using modern collaboration tools such as Teams, Zoom, and project/task management software.
• Exceptional written and verbal communication abilities.
• Capable of drafting, editing, and formatting professional documents and presentations for technical, business, and government audiences.
• Strong time management and organizational skills.
• Demonstrated ability to juggle multiple priorities and meet tight deadlines in a fully remote, high-pressure environment.
• Ability to handle confidential and sensitive information with discretion.
• Must be authorized to work in the United States.
• Current residence in North Carolina, Virginia, Texas, Georgia, or Florida is required.
• Willingness to work outside of standard business hours based on business needs, project milestones, and executive travel/meetings.
• Bachelor's degree in Business, Communications, Public Administration, Engineering Management, or a related field, or an equivalent combination of education and experience is preferred.
• Previous experience with government agencies or government contractor organizations is preferred.
• Business acumen in telecommunications, engineering, technology, or government contracting is preferred.
• Experience supporting executives in government contracting, public sector, defense, or regulated environments is preferred.
• Proficiency in business communication, document editing and formatting, and information design for executive decks, board materials, and government-facing presentations is preferred.
• A commitment to excellence and continuous improvement is preferred.
• Ability to effectively interact with board members, senior leaders, engineers, government officials, and external partners is preferred.
• Capability to collaborate effectively with assistants, engineering staff, program managers, and cross-functional partners is preferred.
• Strong service orientation and sound judgment are preferred.
• A creative, solution-focused approach with a sense of urgency is preferred.
