This is a fully remote position, open to applicants in United States.
• Deliver top-tier executive assistance to the Executive Leadership Team at Harbor, supporting multiple executives.
• Proactively handle conflicting priorities, urgency, sequencing, trade-offs, commitments, and conflicts.
• Oversee intricate calendars and scheduling for various executives across different geographies and time zones.
• Coordinate both domestic and international travel arrangements, including complex itineraries and last-minute changes.
• Prepare executives for both internal and external meetings by organizing agendas, materials, context, logistics, and follow-up actions.
• Manage expense reporting and administrative documentation efficiently.
• Draft correspondence and internal communications as needed.
• Serve as a trusted strategic partner to executives, representing senior leadership with clients, Board members, investors, and internal stakeholders.
• Assist in the planning and tracking of key initiatives and business objectives.
• Facilitate the preparation of leaders for meetings and client engagements.
• Maintain awareness of strategic priorities and ensure completion of action items.
• Act as a discreet and highly confidential gatekeeper.
• Interact with senior stakeholders across the UK, US, and global teams.
• Contribute to driving operational alignment between leadership and execution teams.
• Provide support for special projects and transformation initiatives as necessary.
• Must be located in the United States within the Eastern Standard Time (EST) or Mountain Standard Time (MST) zones.
• A minimum of 5 years of progressive executive support experience, including direct support of C-suite or senior executives.
• Experience in professional services, consulting, legal, financial services, or a high-growth client-service environment.
• Proven capability in independently managing complex calendars, travel arrangements, meeting preparation, communications, and competing priorities.
• Demonstrated ability to operate independently, exercising sound judgment with limited day-to-day direction.
• Proven discretion in handling highly confidential and sensitive information.
• Strong executive presence with the ability to engage credibly with senior internal and external stakeholders.
• Capacity to anticipate executive needs, identify potential issues before they arise, and independently determine suitable next steps.
• Exceptional organizational skills with a keen attention to detail.
• Strong strategic thinking and execution capabilities.
• Excellent written and verbal communication skills.
• Strong interpersonal skills and executive presence.
• Ability to remain calm under pressure while managing competing priorities.
• Comfortable working independently while collaborating cross-functionally.
• Standard working hours are from 8:30 am to 5:30 pm EST, with flexibility required to support senior leadership as necessary.
• Proficient in Microsoft Office Suite: Outlook, Excel, Word, PowerPoint, and Teams.
