This is a fully remote position, open to applicants in United States.
• Deliver tailored administrative support for various members of the Executive Leadership Team and/or Senior Leadership Team.
• Oversee calendars, invitations, scheduling conflicts, deadlines, and work hours.
• Arrange and manage meetings, including responses, agendas, participants, and meeting minutes.
• Organize corporate-sponsored, industry, and internal events, covering travel, venues, registration, and speaking opportunities.
• Handle expense reports and invoice approvals in compliance with policies and timelines.
• Reserve and coordinate airfare, accommodations, ground transport, and dining arrangements.
• Create, proofread, distribute, and maintain presentations and reports.
• Process and route emails, US mail, packages, correspondence, and action items.
• Support committees by attending meetings, taking minutes, reporting action items, and keeping corporate records updated.
• Facilitate the onboarding of designated new leaders, including access, equipment, corporate credit cards, facilities access, and first-week meetings.
• Uphold strict confidentiality at all times.
• Prioritize emails, mail, voicemails, meetings, and workflow activities efficiently.
• Communicate professionally with executives, employees, business partners, subsidiaries, vendors, and consultants.
• Provide backup assistance for assigned Executive Administrators.
• Identify opportunities for process enhancements, coordinate their implementation, and assess effectiveness.
• An associate degree or five (5) years of administrative/operational support experience for managers, directors, and/or executives is required.
• A minimum of three (3) years of experience as an Executive Assistant is required, or 5+ years as an administrative assistant or a combination of experience is acceptable.
• Experience in supporting the Sales organization is highly desirable.
• Proficiency in the Microsoft application suite, including Outlook, Excel, Word, and PowerPoint, is essential.
• Exceptional communication skills are necessary for understanding and compiling communication on behalf of the leader.
• Ability to interact and communicate effectively with all levels of internal staff, vendors, and clients.
• Proficiency in clear and effective business writing techniques.
• Demonstrated ability to adapt to changes and quickly reprioritize tasks.
• Strong organizational skills to manage multiple priorities with a sense of urgency.
• Excellent interpersonal and relationship-building abilities.
• Capability to work under general direction with minimal guidance while delivering accurate, high-quality results.
• Proven ability to manage confidential information with discretion.
• Ability to thrive in a high-pressure, fast-paced environment.
• Outstanding problem-solving skills with the capacity to anticipate and resolve issues.
• Ability to work independently and collaboratively within a functional team.
• Flexibility to work beyond standard hours for urgent requests may be required.
• Travel may be necessary to support on-site or off-site events.
